JOB DESCRIPTION AND POSITION REQUIREMENTS:

The Pennsylvania State University is seeking a candidate for a Project Coordinator (Administrative Support Assistant) to work on a large international National Science Foundation (NSF) funded multi-institutional project water-energy-food nexus networked projects and activities in Africa and the US. The person will be a detailed oriented and organized individual who will provide direct administrative and professional support. This position will perform complex tasks with minimal supervision. The successful candidate will be responsible for the following: 

  • Communicate and correspond with partners (including website maintenance)

  • Coordinate and arrange travel for US to Africa and reverse (include estimated numbers of students and faculty and partners)

  • Plan and organize professional development opportunities (meetings, workshops, conferences and webinars and other events) for students, post-doctoral researchers, and early-career researchers, and network partners 

  • Coordinate and arrange support of visitors

  • Create, maintain files, databases, and reports

  • Respond to routine and moderately complex questions/issues concerning unit/University policies, processes, and procedures from internal and external contacts 

  •  Monitor and maintain budgets; track expenditures 

  • Generate, prepare, and maintain reports and spreadsheets, and authorize processing of payments 

  • Compile and organize information to develop agendas, meeting materials, and reports 

  • Arrange meetings; lead coordination and planning of special events, conferences, and other functions 

  • Support the planning and coordination of moderately complex projects 

  • Serve on various committees; prepare agendas, take and compose minutes 

  • Develop website content and maintain web pages 

  • May assist in the supervision and training of student and assigned support staff 

 

Education and Experience:

This position typically requires a High School diploma or higher plus two years of related experience, or an equivalent combination of education and experience. This is a limited term appointment funded for one year from date of hire with excellent possibility of re-funding since this is a 5-year project.
