Project Coordinator

This position is a part of the Non-Academic Staff Association (NASA).

Location: This role is hybrid with a mix of remote and in-person and work is primarily located at North Campus, Edmonton.

Position Summary

Working in the ABMI’s Executive Office as well as the Information and Operations Centres, the Project Coordinator is responsible for supporting the asset and office logistics to ensure adequate organization and use of ABMI spaces; supporting the ABMI’s management of grants, ensuring efficient reporting and tracking of deliverables; supporting the ABMI’s data quality assurance and quality control program to ensure the integrity of data products; and supporting Access Management to ABMI’s field sites.

Duties

Responsibilities and Activities:

1. Logistics & Asset Management

Leads, manages, and organizes ABMI logistics and asset procurement and tracking across ABMI Centres.
Liaise with the University of Alberta’s SRIT team to ensure compliance with University wide standards and procedures

Activities:

    • Manage, review, and update ABMI equipment and assets, including asset-tracking systems. This includes the tagging of assets and providing support in the purchase of assets for ABMI Centres.
    • Coordinate the ABMI’s evergreening process.
    • Organize and manage ABMI office and storage spaces.
    • Lead and support the development of internal operational documents to ensure organizational consistency and process-based decision-making.

2. Project Management

Manage and support internal and external projects and grants as required to ensure outlined work and deliverables are on track and progressing.

Activities:

    • Organizing project meetings as required, taking meeting minutes and tracking action items.
    • Support the creation of project and grant reports.

3. Data Management

Supports projects related to data management quality systems, and projects that support information needs of other ABMI Centres.

Activities:

    • Supports ABMI field data QAQC, including the management and updating of metadata documents.
    • Organizes and manages ABMI’s field collected tablet data and photo archive
    • Support ABMI’s remote camera and ARU data management, including the organization and uploading of files to WildTrax.
    • Supports other ABMI Centres, including updating Site Summary Workbench
    • Support the hiring and training of camera taggers.

4. Reporting and Communications

Supports projects related to ABMI communications such as online publications, the ABMI website, social media and online reporting.

Activities:

    • Manage the ABMI’s publications archive.
    • Support online reporting and content implementation.
    • Support internal ABMI communications, events, and activities.

5. Field Site Access Management Support

Provide support to the Access Manager in acquiring permission to ABMI sites and coordinating site access requests.

Activities:

    • Support field crews while in the field.
    • Support external access requests to ABMI site locations, including the review of submitted project proposal and coordination of site access and coordinate sharing.

Minimum Qualifications

  • B.Sc. degree in biological sciences or related discipline
  • Greater than 3 years working experience in the field of ecology or natural resource management with excellent organizational, writing, and interpersonal skills

Preferred Qualifications

Preference given to those with:

  • Relevant education and experience (ecological data knowledge and experience).
    • Experience with data quality control and quality assurance.
    • Project Management.
  • Experience with organizing and managing assets and space logistics.
  • Career interest in promoting sustainable resource management.
  • Self motivated.
  • Excellent interpersonal communication skills.
  • A proactive approach to managing problems.
  • Ability to adapt and evolve as required.
  • An interest in learning.
