Program Technical Support Specialist

High Meadows Environmental Institute (HMEI) seeks a highly organized, flexible and technically competent individual to contribute to the production of communication materials and the maintenance of HMEI’s website(s) and digital assets; to provide technical support for HMEI’s Internship Program, including applications processing and data management; and to support events and programming applications connected to HMEI’s research, teaching and outreach activities.

 

Reporting to the Manager, Finance and Administration, this part time position (80% duty time) will work especially closely with HMEI’s Web Developer and HMEI’s Internship Program Manager on technical aspects related to the layout and production of materials in print and digital formats and to process and administer applications for student and faculty awards. The incumbent will provide technical/production support for other program applications as needed and requested.

Program Specialist Support:

The Program Support Specialist will assist with executing routine activities and special projects related to HMEI programs, activities and initiatives including:

 

HMEI Communications:

  • Enter and update digital content appearing on HMEI’s website and in related applications, including text, graphics and photographic images;
  • Edit and create sidebars and menus for webpages, headers and yearly content updates; conduct web research related to stock images, photos and background information on faculty and students related to web updates and publications.
  • Create layouts and designs for HMEI publications, brochures, and meeting materials (e.g., Annual Reports, booklets, programs, fliers, name tags, etc.).
  • Responsible for photo-editing and cropping for bios and website images
  • Create, and compile digital art/designs for infographics, digital greeting cards and social media images
  • Edit and trim video files from various HMEI events and seminars

 

Internship Program

  • Assist in administration of Global Programs Systems (GPS) software for the student internship program; Assist in creating GPS program applications and editing as appropriate (i.e., application deadlines, program parameters, etc.); update and upload application files to support student applications, as appropriate (transcripts, cvs, etc); Edit student application statuses; Run application queries; Troubleshoot software issues with application/site links, etc.
  • Use Excel/Access to track internship proposal details and award information; assist in organizing and utilizing lists for attendance and deadline compliance, etc.
  • Assist in updating HMEI’s to reflect current internship opportunities; link website internship postings to the appropriate program application (GPS); update postings as necessary.
  • Coordinate with Internship Program Manager to take student headshots, photo edit and crop student headshots for print publications and website
  • Troubleshoot software issues with applicants and GPS applications; Interface with students prior to, during, and after event(s) to assist in tracking survey responses, arranging photos, and providing answers to program questions; Assist with monitoring envintern email account.

Additional Program Support:

  • Work with HMEI staff to support events, seminars, workshops, and programming on a as needed basis.
  • Attend and assist with HMEI related campus events, as assigned, such as Discovery Day, Internship Pre-departure Orientation, and the Summer of Learning, etc.
  • Provide pre-event assistance, including support in the production of agendas, programs, nametags, event correspondence, for HMEI related events as directed.
  • Assist HMEI staff with general office duties including general website and photo archive maintenance, record keeping and hard copy archive maintenance.

Essential:

  • Bachelor’s degree or equivalent
  • 3+ years of experience in related field
  • Excellent writing and editing skills
  • Ability to interact comfortably and confidently with a broad internal and external constituency
  • Able to maintain a professional demeanor in representing the Institute and the University
  • Organized with strong project management skills;  task oriented and deadline conscious
  • Proficient in MS Office Applications and Adobe Acrobat
  • Basic CSS/HTML coding
  • Excellent  attention to detail
  • Ability to identify solutions to logistical challenges
  • Willingness to work a flexible schedule

Preferred:

  • Experience with WordPress Software
  • Strong experience with Adobe Suite (Photoshop, Adobe Illustrator, In-design, After Effects)
  • Familiarity with Global Program System (GPS)
