Program Specialist – School of Gerontology

The Leonard Davis School of Gerontology and Andrus Gerontology center are multidisciplinary in their research and curriculum goals. This recruiting effort seeks candidates from diverse backgrounds and cultures, including graduates in disciplines and professions such as epidemiology, neuropsychology, and health services. Additionally, opportunities are available for joint appointments with academic units across the USC Campus. Cluster hires in areas of interest are possible.

The USC Leonard Davis School offers gerontology degrees at the bachelor’s, master’s, and doctoral levels. Faculty members teach at both graduate and undergraduate levels and supervise doctoral students in the Leonard Davis School and frequently oversee, qualified students from other USC schools and departments (e.g. Biological Sciences, Medicine, Engineering, Psychology, Sociology, Policy and Planning)

The University of Southern California (USC) Leonard Davis School of Gerontology is looking for a Program Specialist to join our staff and student community.  This role is responsible for assisting both the Student Services Department as well as the School’s GEMSTEM Program . The position is grant funded and contingent on continued funding.

Reporting directly to the Senior Associate Dean the Program Specialist will work in collaboration with the Student Services Department and will serve as a liaison with Gerontology HR, Business Office, and the Academic Office for GEMSTEM Scholar work. The ideal candidate should have a strong understanding of Microsoft Office, excellent communication skills, and a strong attention to detail. Knowledge of and experience working in higher education preferred.

Roles and responsibilities to include:

  • Answering the main school phone line and greeting guests.
  • Ordering office Supplies.
  • Coordinate events (may range from staff, student, or faculty events)/ take minutes.
  • Organize and implement monthly Colloquium Speaker coffee series.
  • Take prospective students and families on tours of the Gerontology building.
    • Arrange student travel.
  • Assist with events, including organizing catering, vendor set-up, coordinating with facilities management, arrange for guest and vendor parking, and event rentals.
  • Assist with student registration for GSA (Membership and travel).
  • Develop programming
  • Coordinate faculty and Ph.D. student regalia rentals for commencement and convocation.
  • Coordinate GEMSTEM outreach with lead administrative team and student contact(s).
    • Booths, visit groups, contact course instructors.
    • Collect applications and compile information for review.
    • Organize monthly Skills/Workshops and monthly social engagements, and retreats.
  • Maintains GEMSTEM records
    • Listserv, develop and collect surveys, calendar, and reminders
    • Develop and update website content (i.e. twitter account and other social media accounts).
    • Develop alumni network.
  • Additional requirements include assisting in school operations as needed.
  • Performs other related duties as assigned or requested. The University reserves the right to add or change duties at any time.

Qualifications:

  • The ideal candidate will possess a bachelor’s degree. Combined experience/education as substitute for minimum education.
  • Minimum experience 2 years.
  • Experience working in higher education is ideal.

This position is funded by a contract/grant and may be funded by a subsequent contract/grant. Accordingly, your position is contingent upon receipt of the necessary funding from this or any subsequent contract/grant to continue employment.

Minimum Field of Expertise: Directly related professional experience in program specialization, e.g., counseling or teaching.
