Program Specialist

Job Description

The Program Specialist provides direct support to the Thunderbird School of Global Management Executive Education Operations team and will be responsible for contributing to the successful delivery of online, in-person and hybrid programs, resulting in effective team support and a top-notch customer experience. Ensures the goals and objectives of assigned tasks are accomplished in accordance with priorities, time constraints, funding limitations or other specifications. As a PS, you will gain program and project management experience, train across teams and coordinate across Thunderbird/ASU faculty.

Essential Duties

  • Perform tasks contributing to online and in-person program deliveries including participant registration, digital platform setup and maintenance, classroom booking and setup, curriculum and content coordination, copyright orders, catering selections, prepare seating charts, materials shipping, print orders and digital file organization, compile and distribute evaluation data, provide support to Program Managers.
  • Utilize a variety of digital platforms for digital programs, digital elements of in-person programs, meetings, webinars and information sharing.
  • Fiscal responsibilities include vendor invoice payment, client invoice requests, faculty payroll forms and payments.
  • Note-taking; documentation of tasks, discussions, outcomes and other activities.
  • Attend internal meetings; contribute to discussions and provide operational perspective and support.
  • Utilize tools to capture program data such as the CRM application, digital portal, templates, etc.
  • Coordinate select online and in-person programs from end-to-end.
  • Routinely manage Outlook calendar and maintain commitments.
  • Interface with varied levels of faculty and staff.
  • Anticipate, identify and troubleshoot risks that have the potential to affect program success.
  • Monitor for continuous improvement possibilities for future enhancements to the client experience and internal efficiencies.
  • Tackle special projects such as data cleanup, research and data reporting.
  • Perform other duties as assigned.

Minimum Qualifications

Bachelor’s degree in a related field AND two years administrative/coordination experience; OR Any equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved.

Desired Qualifications

  • Demonstrated knowledge of Microsoft Windows and Office Suite: Word, Excel, PPT.
  • Experience in professional e-mail and phone communication.
  • Technologically inclined and comfortable learning new platforms.
  • Experience in working Capacity to work efficiently across multiple programs and projects.
  • Comfortable interfacing with varied levels of faculty, staff and clients.
  • Experience working in a deadline-driven environment with a sense of urgency.
  • Experience in customer service.
  • Experience in using organization and being detail-orientated.
  • Demonstrated knowledge of any of the following platforms are a plus: Salesforce, Canvas, Qualtrics, Aventri, Zoom, Outlook, Dropbox, Concur.
  • Evidence in having a desire to learn in a fast-paced environment and grow into Program Management role.
  • Ability to work outside of normal business hours (late evenings, early mornings or weekends) on occasion depending on program schedules.

Working Environment

  • Professional, global, team-based environment; primary location is downtown Phoenix.
  • In-person and remote collaboration with local and global colleagues.
  • Majority of activities are performed in an environmentally controlled office setting.
  • Use of software and computer equipment (monitor, keyboard, mouse) for extended periods of time.
  • Use of office equipment: printers, copiers, fax machines, telephones, calculators.
  • Lift and transport up to 20 pounds.
  • Sustainability is embedded into departmental goals and operational practices.
