The NHSC Loan Repayment Program is open to licensed primary care medical, dental, and mental and behavioral health providers who are employed by accredited sites.

Program Secretary II Summary: The Program Secretary II is responsible for monitoring, updating, and working MOTS Error Reports, Caseload Management Credible Reports, and clinical program-specific reports. This position works directly with clinical staff, billing, and analytics teams.

  • Update and maintain MOTS Error reports in Credible BI and Tableau.
  • Update and maintain Caseload Management-Provider Scheduling report in Tableau.
  • Case transfer and caseload management scheduling closeout for providers.
  • Assist with ordering, tracking, and distribution of office supplies and submitting to accounts payable.
  • Navigate client profile, client and provider scheduler, admin services, and reports in Credible EHR.
  • Evaluate procedural appropriateness in Credible Electronic Health Records (EHR).
  • Facilitate crisis protocol for clients in need of urgent services.
  • Support program staff to ensure the smooth operations of the agency.
  • Other duties as assigned by the Support Services Supervisor, Manager, and Director of Operations.

Competencies: To perform the job successfully and to meet the standards of professionalism, this individual should demonstrate the following competencies:

Job Knowledge

  • Experience in gathering client information.
  • Experience in taking in and transferring client information to EHR or electronic database.
  • Experience in using Excel or Tableau reports.

Use of Technology

  • Navigate Microsoft Office Word and Excel.
  • Learn ADP Workforce. c. Learn Credible EHR.
  • Learn Zoom chat features.
  • Learn Tableau report features.

Customer and Coworker Service

  • Maintain a calm and professional manner.
  • Manage difficult or emotional client situations.
  • Interact and coordinate with clinical providers.

Program Secretary II Education/Experience: To perform the job successfully the following education and/or experience is requested.

Required:

  • High school diploma or GED.
  • Two years of office experience.
  • One year of client information data input experience.
  • One year of client scheduling experience.
  • One year of provider scheduling experience
  • One year of EHR experience
  • Valid Oregon driver’s license, insurable driving record. Personal automobile insurance is required if clients are transported, or any agency business is conducted by the employee using their personal vehicle.

Preferred:

  • One year of clinical or behavioral health office experience.
  • Associate degree
