Salary within our ranges may also be determined by your education and experience as required by the role, as well as internal equity and alignment with market data. Program Secretary II Summary: The Program Secretary II is responsible for monitoring, updating, and working MOTS Error Reports, Caseload Management Credible Reports, and clinical program-specific reports. This position works directly with clinical staff, billing, and analytics teams.Program Secretary II Education/Experience: To perform the job successfully the following education and/or experience is requested.Required:
- High school diploma or GED.
- Two years of office experience.
- One year of client information data input experience.
- One year of client scheduling experience.
- One year of provider scheduling experience
- One year of EHR experience
- Valid Oregon driver’s license, insurable driving record. Personal automobile insurance is required if clients are transported, or any agency business is conducted by the employee using their personal vehicle.
Preferred:
- One year of clinical or behavioral health office experience.
- Associate degree
Program Secretary II Responsibilities:
- Update and maintain MOTS Error reports in Credible BI and Tableau.
- Update and maintain Caseload Management-Provider Scheduling report in Tableau.
- Case transfer and caseload management scheduling closeout for providers.
- Assist with ordering, tracking, and distribution of office supplies and submitting to accounts payable.
- Navigate client profile, client and provider scheduler, admin services, and reports in Credible EHR.
- Evaluate procedural appropriateness in Credible Electronic Health Records (EHR).
- Facilitate crisis protocol for clients in need of urgent services.
- Support program staff to ensure the smooth operations of the agency.
- Other duties as assigned by the Support Services Supervisor, Manager, and Director of Operations.
Competencies: To perform the job successfully and to meet the standards of professionalism, this individual should demonstrate the following competencies:Job Knowledge
- Experience in gathering client information.
- Experience in taking in and transferring client information to EHR or electronic database.
- Experience in using Excel or Tableau reports.
Use of Technology
- Navigate Microsoft Office Word and Excel.
- Learn ADP Workforce. c. Learn Credible EHR.
- Learn Zoom chat features.
- Learn Tableau report features.
Customer and Coworker Service
- Maintain a calm and professional manner.
- Manage difficult or emotional client situations.
- Interact and coordinate with clinical providers.
