Posting Summary Rutgers, The State University of New Jersey is seeking a Program Manager for the Department of Pediatrics/ Division of Adolescent & Young Adult Medicine (DAYAM) within the New Jersey Medical School. The DAYAM Program Manager is responsible for providing administrative support and coordinating the fiscal, contractual, and regulatory activities of DAYAM. Assists with long and short range planning, and with fiscal projections and analysis. Responsible for the operational functions of the department, the prioritization of responses to inquiries and providing resolutions where applicable.
Among the key duties of this position are the following:
  • Develops timelines to monitor workflow; maintains accurate records of follow-up procedures and activities for all on-going administrative functions.
  • Maintains financial records and monitors and facilitates financial transactions for the program.
  • Ensures expenditures are in accordance with allocation of funds.
  • Maintains financial database and tracking systems for all financial transactions.
  • Designs and prepares statistical reports and surveys as directed. 6. Prepares and submits invoices and annual budgets to the grants and research offices and grant-funding federal organization in a timely fashion.

COVID-19 Immunization Requirement Under Policy 60.1.35 , Rutgers University requires all prospective employees to provide proof that they are fully vaccinated and have received a booster (where eligible) against COVID-19 prior to commencement of employment, unless the University has granted the individual a medical or religious exemption. Prospective employees who are not eligible for a booster at the time of an offer of employment must provide proof they have received a booster within two weeks (14 calendar days) of eligibility . Based on current guidance, individuals are considered fully vaccinated against COVID-19 two weeks after receiving the final dose of any COVID-19 vaccine authorized or approved for use in the United States by the United States Food and Drug Administration (FDA) and recommended by the Advisory Committee on Immunization Practices (ACIP) of the Centers for Disease Control and Prevention (CDC). Eligibility for a booster against COVID-19 varies and is explained on the University’s web site located at https://coronavirus.rutgers.edu/covid-19-vaccine . Failure to provide proof of primary vaccination and booster will result in rescission of a prospective employee’s offer of employment and/or disciplinary action up to and including termination.

Qualifications

Minimum Education and Experience
  • Bachelor’s Degree in Finance, Business Administration, or a related field is required plus at least four (4) years of related experience including at least two (2) years in a supervisory/managerial capacity in a health care setting.
  • Work experience must include responsibility for personnel management, fiscal management, and grant and contract management.
  • Equivalent experience, education and/or training may be substituted for the education requirements.
Certifications/Licenses
Required Knowledge, Skills, and Abilities
  • Excellent communication skills both verbal and written.
  • Familiar with federal and state programs, grants, and program coordination and management.
  • Proficient in Microsoft Word, Excel, Access, PowerPoint knowledge.
  • Proficient with Rutgers Financial Management Systems.
  • Ability to maintain confidentiality.
  • Team builder.
  • Strong time management and organizational skills.
Preferred Qualifications
  • Master’s Degree.
  • Experience with facility planning and maintenance.
  • Experience in a medical/ education/ research facility.
  • Familiar with 340B accounting and compliance.
