Program Manager

The candidate will work with the Division administrator to help with pre- and post-award work with grants, HR procedures, academic appointments processing, and other administrative tasks and will assist the divisions administrator and division chief with the overall financial and administrative management of the division.

The incumbent must have expert organizational and interpersonal skills, and the ability to multitask in a dynamic and complicated environment.

  • Preparing budgets and budget justifications in preparation for grant application submissions.

  • Compiling and formatting applications to meet sponsor specifications and deadlines

  • Working with grants management offices in the Department of Psychiatry to ensure review of all application materials and timely submission of all documents

  • Compiling and submitting to Grants and Contracts Office and Business Offices, all documents required to facilitate the execution of subcontracts and service agreements

  • Maintaining up to date biosketches and other support materials for investigators

  • Assisting Principal Investigators in the preparation of JIT requests, progress and final reports as per the sponsor’s guidelines and deadlines

  • Monitoring project accounts to ensure expenditures are in accordance with sponsor and institutional guidelines and within budget

  • Working with the Sr. Administration in analyzing all accounts to prevent over/under spending

  • Preparing salary distributions in accordance with budgets

  • Processing of Invoices, purchase orders/requisitions, and travel reimbursements

  • Preparing job postings for new and replacement positions

  • Assisting in the hiring and termination process of employees

  • Working with HR, Academic Affairs and Immigration Affairs when requesting academic and professional appointments, credentialing, appointment renewals, and visa applications

  • Working with Sr. Administration on salary certification process and effort reporting

  • Other administrative tasks required by the divisions needs and everyday function
