Job Description

Within the Public Service Academy (PSA) at ASU, the mission of the Next Generation Service Corps (NGSC) is to develop adaptive and collaborative leaders of character who cross sectors, connect networks, and ignite impact to solve local and global challenges. This includes a strong intent to build a pipeline of young leaders to public service opportunities in the government, nonprofit, civic, social/human services and education sectors.

Arizona State University is seeking a Program Coordinator Sr., who will bring initiative, energy, organization, and attention to detail to this role. Working with existing technology systems, primary duties will include: coordinating the internal and external communication efforts and strategy of the NGSC to students, families, community partners, alumni and internal stakeholders; managing large numbers of student records; collecting data, tracking and reporting; recruiting new applicants from diverse candidate pools; technical event support; and maintaining scholarships of 400+ members annually. They will also administer the outreach, recruitment, application, and onboarding process of students to the nationally recognized NGSC program. The Program Coordinator, Sr. will provide technical systems support for events and programs of the NGSC. They will take the lead in the planning and execution of 2-4 large-scale NGSC events per year, and will serve in a support role for all other NGSC events and programming throughout the year. This role will supervise student staff to support these efforts.

Essential Duties

​​​​​​Outreach and Recruitment

  • Develops, coordinates, and implements strategic plans for the recruitment, application review process, and onboarding of Next Generation Service Corps members. 
  • Coordinates and attends outreach and recruitment events and presentations at high schools, community colleges, and community events for the NGSC. 
  • Serves as a point of contact for prospective students about the scholarship and program requirements and acts as a liaison with the community, students, parents, and internal ASU staff in facilitating the PSA recruitment plan.
  • Organizes application reviews and interviews for student ambassadors and staff; maintains standards for program acceptance. 
  • Facilitates the incoming student onboarding process on an annual basis, overseeing all aspects of 120-150 members and their acceptance, welcome and orientation into the program.

Event Planning

  • Assists in planning and implementing program-wide events such as annual retreats, panels and donor stewardship events including room reservations, food orders, technology needs, and appreciation gifts to speakers/panelists.
  • Runs attendance rosters, collects meal counts, and tracks forms and waivers.
  • Provides event support through creation of necessary website pages, links, and Zoom meetings/webinars and timely communication pre- and post-event.
  • Conducts evaluation processes with students at the end of events and at the beginning and end of program experience.

Communications

  • Develops and executes communication plans to NGSC members and to community partners via email and social media.
  • Manages internal and external websites including event details, content updates, forms, logs, and bi-weekly newsletter postings. 

Student Records and Tracking

  • Serves as liaison to the ASU Financial Aid and Scholarships office and as the main point of contact to NGSC students regarding the PSA Scholarship.
  • Maintains and updates student records in Peoplesoft, Airtable, and with the Scholarships Office.
  • Organizes student records for review at the close of each semester to determine student status and scholarship rates.

Supervision

  • Hires, trains and supervises 2-5 students including the Communications and Marketing Aide Student Worker, Data Assistant Student Worker, Information Management Student Worker, and the NGSC Ambassadors Committee Chair while indirectly overseeing 20+ student ambassadors.

Minimum Qualifications

Bachelor’s degree in a field appropriate to the area of assignment AND four years administrative/coordinate program experience; OR, Master’s degree in field appropriate to area of assignment AND two years administrative/coordinate program experience; OR, Eight years of progressively responsible administrative/coordinate program experience; OR, Any equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved.

Desired Qualifications

  • Experience with recruitment processes: outreach, application administration and review, and onboarding
  • Experience in designing, implementing and evaluating large scale events.
  • Experience in developing and executing communication strategies to internal and external audiences using a program like Salesforce (Marketing Cloud and Case Management).
  • Experience with technology platforms such as Airtable, Monday, Aventri, Qualtrics, and AdobeSign.
  • Evidence of effective communication skills, excellent time management skills, attention to detail, willingness to be flexible and adapt to changing needs, and a desire to work with the team. 
  • Experience in prioritizing, delegating and following up on tasks. 
  • Supervisory experience.
  • Experience working with diverse high-school and college student populations.

Working Environment

Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding and manipulating a computer mouse (75%); required to stand for varying lengths of time and walk moderate distances to perform work (10%). Frequent bending, reaching, lifting, pushing and pulling up to 25 pounds (15%).Regular activities require ability to quickly change priorities, which may include and/or are subject to resolution of conflicts. Ability to clearly communicate to perform essential functions.
