JOB DESCRIPTION
Job Summary: Under general direction, oversees the administration of the student records and clinical education component of the Occupational Science and Occupational Therapy (OT) department: manages and assigns students to clinical education sites; maintains the Clinical Education Database; collaborates with the clinical education team; maintains all student education records (admissions, registration, retention initiatives, and progressions).
CHARACTERISTIC JOB TASKS AND RESPONSIBILITIES
May include any and/or all of the following:
- Serves as initial contact person regarding student services; answers questions concerning programs for students; disseminates information and distributes materials; supports student-related responsibilities including, but not limited to, recruitment, enrollment and admission tracking, student progression, retention tracking, responding to requests for information and updating Banner and student databases; supports all students within the Department’s academic programs.
- Meets with current, transfer, and prospective students; coordinators central applications processes; prepares applicant files for review; maintains student records and conducts degree audits
- Prepares, revises and maintains classroom schedules by semester in Banner; updates curriculum as necessary; assists in the student registration process; and prepares accreditation-related reports; assists department’s faculty with administering student testing through specialized software.
- Maintains the OT Clinical Education Database, schedules Fieldwork I and II assignments as well as answers calls and follow-up for Fieldwork; generates basic reports; handles multiple projects and confidential issues or sensitive records on a regular basis.; maintains clinical education files.
- Obtains verification of completed clinical education paperwork from students for all phases of clinical experiences and tracks fieldwork requirements through specialized fieldwork software.
- Organizes and manages clinical education files; supports the clinical education faculty.
- Interacts with students on a regular basis, including assisting with mentor appointments, maintaining scholarship information, and post-graduate survey dissemination and response tracking.
- Coordinates and performs administrative services as requested; assists other administrative staff; reviews and updates website information; schedules and sets-up labs; assists with events and meetings; hosts orientation sessions; supports alumni through maintaining files and databases.
- May supervise student workers assisting with department or clinical education tasks.
- Maintains a social media presence to disseminate departments happenings and faculty scholarship
- Contributes to recruitment efforts in materials preparation, tours, and recruitment events
- Performs other duties as assigned.

MINIMUM QUALIFICATIONS
Education and experience equivalent to: Associate’s degree; supplemented with two (2) years of related work experience.
