Your opportunity:

The Max Planck-University of Toronto Centre for Neural Science and Technology (MPUTC) at the University of Toronto will be a major partnership between the university (and its affiliated hospitals) and the Max Planck Society (MPG). The research goal is to create and use advanced technologies to study brain circuits for improving human health. A centerpiece of the MPUTC is a joint doctoral program between the Max Planck Society and the University of Toronto that will involve about 25 Ph.D. students over 5 years. Vitally important to the MPUTC are international visibility, links to U of Toronto academic programs, internationalization, and financial sustainability. We are recruiting a Program Coordinator to establish and maintain the operations for the MPUTC at the University of Toronto.

The Program Coordinator is essential to success of the MPUTC. In this vital role, as the incumbent you will provide outstanding student services and program support by drawing upon your strong client-service orientation skills. As the Program Coordinator, you will regularly interact with inter- faculty academic, hospital, MPG administrators and scientists while advancing the priorities of the MPUTC. Utilizing your excellent written and interpersonal communication skills you will advise student trainees, and engage stakeholders to build a sustainable culture and community of science, education, and innovation.

Your responsibilities will include:

  • Advising students on program and/or course requirements by probing and providing a range of options and possible consequences.Providing detailed information on program eligibility, requirements, procedures, policies and deadlines
  • Acting as the first point of contact for general enquiries by students, researchers, faculty members and the general public related to the MPUTCRespond to enquiries within the defined scope of the role and redirecting as appropriate
  • Provide administrative support for joint research projects between U of Toronto and the Max Planck Society under the MPUTCAssist in the preparation of grant applications and scientific writing
  • Administer grants and funding sources supporting the activities of the MPUTCAnalyzing service delivery and/or internal processes and recommending improvementsCoordinating meeting schedules, agendas, materials, action and follow-up itemsLiaising with stakeholders to coordinate space andresource requirementsDetermining logistical details and activities for events and/or programming
  • Organize a distinguished lecture series and an annual workshop
  • Create and maintain an online website and social media presence for the MPUTCCreate and maintain an online portal for the students and researchers to apply for MPUTC fellowshipsCreating and editing documents and content for brochures, newsletters, websites and/or handbooks
  • Administer fellowships for graduate students and post-doctoral fellowships, and short-term exchange visitors in Canada and internationally
  • Track and document expenses and financial commitmentsOrdering supplies, making purchases, and arranging catering

Essential Qualifications:

  • Bachelor’s Degree in Biomedical Engineering, Neuroscience, Basic Science or acceptable combination of equivalent experience
  • Minimum three years of experience in student service and student advising
  • Experience coordinating programs and advising students on program requirements
  • Demonstrated experience coordinating events and workshops
  • Experience drafting and editing communication and promotional materials; updating social media outlets and websites
  • Experience managing calendars on behalf of senior leadership an d supporting committees
  • Advanced proficiency in MS Office Suite, Word Press, content management systems and various social media platforms
  • Excellent communication (written and oral) skills
  • Strong client-service orientation skills
  • Effective problem solver with exceptional organizational and time management skills
  • Must have initiative and the ability to effectively deal with a variety of tasks and strict deadlines
  • Ability to frequently adjust priorities

Pay Scale Group & Hiring Zone: 

USW Pay Band 11 — $75,223. with an annual step progression to a maximum of $96,196. Pay scale and job class assignment is subject to determination pursuant to the Job Evaluation/Pay Equity Maintenance Protocol.
