Program Coordinator II, School of Speech, Language, Hearing and Occupational Sciences

The School of Speech, Language, Hearing and Occupational Sciences invites applications for the position of a Program Coordinator II. The responsibilities of this position include:

Training and supervising student support staff.

Facilitating records management of academic unit (including on-campus and online students in unit).
-
Clerical duties including filing, scanning, copying, preparing/sending requested information and shredding confidential written documents.

Scheduling and managing appointments in electronic medical record system.
-
Managing clinic intake paperwork (paper and electronic).
-
Taking, tracking, and processing payments in the electronic medical record system, and managing accounts receivable by making deposits of payments (e.g., in Banner).

Greeting and assisting DeWit RiteCare clients, families, students, visitors, and supervisors. Clientele in the clinic have a variety of communication disorders, therefore possession of, or ability to learn, communication skills for successful interaction is essential.

Managing purchasing of materials and supplies as well as faculty, clinicians, and staff Procard reconciliation.

Organizing clinic related meetings and take minutes.

Assisting in organizing and attending conferences and workshops related to department.

Maintaining appearance, organization, and cleanliness of department and clinic.

Fielding all new inquiries and triaging for accept, referral, or email lists.

Utilizing DocuSign to effectively collect signatures for our annual contracts (e.g., with Missoula County Public Schools).

Facilitating sliding fee/ scholarship process, from directing clients to paperwork, to processing paperwork, and implementing in electronic medical record system.
Required Skills
-
Demonstrates supervisory skills including problem-solving, communication, conflict resolution, and the ability to understand, follow, and apply university personnel policies and collective bargaining agreements

Knowledge of or ability to learn computer software and office equipment including BANNER, MS Word, MS Excel, and MS Outlook

Ability to understand and process health information review, document management, processing of records requests, including understanding and application of state and federal regulations, industry standards and confidentiality as related to processing procedures

Familiarity with record keeping and tracking

Ability to interact with the public, staff/faculty, and co-workers effectively
-
Ability to maintain effective working relationships with a diverse group of individuals
-
Ability to learn and apply university policies, procedures and understand campus departments
-
Excellent communication skills including written, listening, and verbal.
Minimum Required Experience
-
High school diploma (or equivalency) in addition to two (2) years of closely related experience; or any combination of experience and education that provides the competencies necessary to successfully discharge the duties and responsibilities assigned to the position.
Preferred Qualifications
-
Knowledge of UM computer programs such as InfoGriz, UMDW, Banner, CyberBear, and Ponderosa

Position Details
Position Title: Program Coordinator II
Position Number: NEW
Department: School of Speech, Language, Hearing, & Occupational Sciences
Work Schedule: Full-time, 1.0 FTE (40 Hours a week), Monday through Friday 8:00 am to 5:00 pm, 12 months/year
Salary: $16.535/hr – Current employee’s rate of pay for this position will be determined by the staff compensation plan and will minimally be this posted salary. For questions and details regarding the staff compensation plan, email the Compensation Department .
Union Affiliation: Montana Federation of Public Employees (MFPE)
Probationary Period: Six months minimum
