Job Description

The Nevada System of Higher Education (NSHE) invites applications and nominations for the position of Program Coordinator for the Nevada Office of WICHE and NSHE Office of Academic and Student Affairs. This is a renewable, full-time, non-tenured, administrative position and reports to the Director of the Nevada Office of WICHE and Research Analyst in the NSHE Academic and Student Affairs (ASA) Department. The position will be located in Reno, Nevada.  

The NSHE is comprised of eight institutions: two universities, a state college, four community colleges and research institute.  The public system of higher education in Nevada continues to experience growth with significant opportunities in serving over 105,000 students and 12,000 employees.

The Program Coordinator provides support to the Nevada Office of WICHE and NSHE Office of Academic and Student Affairs. The Program Coordinator assists the Director of the Nevada Office of WICHE in carrying out functions of the office, including but not limited to monitoring, reconciling, and reporting on specific accounting and fiscal functions; responding to questions from prospective and current participants; maintaining participant accounts; scheduling meetings, creating agendas, and drafting minutes of Commission meetings in accordance with Nevada Open Meeting law; and performing duties as assigned. The Program Coordinator also assists the Research Analyst in the ASA Department by providing support for statewide financial aid programs, including but not limited to the Governor Guinn Millennium Scholarship (CGMS), Silver State Opportunity Grant (SSOG), Nevada Promise Scholarship (NPS), and Workforce Incentive Grant (WIG) pilot. Duties include supporting technical financial aid processes, answering program questions from institutional staff and other stakeholders, and processing funding requests.

SALARY GRADE:  C ($60,000 to $65,000 commensurate with education, experience, and training) Benefits package includes health, dental, vision, life, and retirement benefits.

APPROXIMATE STARTING DATE:  November 14, 2022.

MINIMUM QUALIFICATIONS:  The successful candidate must have a bachelor’s degree from a regionally accredited institution with a least three (3) years of higher education experience in academic and/or student affairs. Preference will be given to candidates who have a master’s degree or who have progressive experience directly applicable to the position.

KNOWLEDGE, SKILLS, AND ABILITIES:  Successful candidates must possess the following knowledge, skills, and abilities. It is recommended that applicants for this position address each of the following items in the letter of application:

  • Knowledge and institutional experience in higher education.

  • Knowledge of federal and state financial aid policies and procedures.

  • Familiarity with bookkeeping (accounts payable/receivable, etc.).

  • Skill in the use of Microsoft Office applications, intermediate level for Microsoft Excel and Access preferred.

  • Skill in the use of PeopleSoft Campus Solutions or similar student information system, query creation experience preferred.

  • Skill in providing an overall positive customer experience.

  • Ability to set priorities which accurately reflect the relative importance of job responsibilities.

  • Ability to learn and use Workday to extract reports and information.

  • Ability to learn and use student loan software management systems.

  • Ability to create and maintain accurate student, financial, and accounting records.

  • Ability to communicate effectively in both an oral and written manner.

  • Ability to perform tasks with a high degree of accuracy.

  • Ability to prioritize and complete multiple tasks in an efficient and timely manner while strictly adhering to deadlines.

  • Ability to work independently under minimal supervision demonstrating effective problem solving, decision-making, and judgment.

  • Ability to interact effectively with diverse internal and external constituencies and work collaboratively as a team member.

  • Ability to read, interpret, and apply laws, regulations, and guidelines impacting the performance of financial aid programs.

  • Ability to learn quickly and absorb complex information.

RESPONSIBILITIES:  The duties of this position will include, but not be limited to, the following areas of responsibility:

Nevada Office of WICHE:

  • Cash Management and Reconciliation:

    • Conduct regular reconciliation of revenue and expenditures between Workday and the student loan processing system working with the system administration accounting team.

    • Research compliance by examining discrepancies or questionable transactions and forward to the Director for review.

    • Process invoices related to Nevada Office of WICHE operational program activities.

  • Participant Account Maintenance for Program Compliance

    • Track and report applicant and participant program eligibility and compliance.

    • Assist Director in the identification, preparation, and receipt of new and continuing participant documentation.

    • Update the student loan processing system of participant changes in status and funding.

    • Ensure that forms and applications submitted via office website are tracked and followed up in a timely manner.

    • Answer questions via phone and email regarding Nevada Office of WICHE programs.

  • Other Duties

    • Under the guidance of the Director and in accordance with Nevada Open Meeting law, schedule meetings, create agendas, and draft meeting minutes for the Nevada WICHE Commission.

    • Assist in monitoring the program website to ensure all information is accurate and up to date.

    • Complete miscellaneous duties as assigned.

NSHE Academic and Student Affairs:

Under the supervision of the Research Analyst, provide support to the statewide financial aid programs. Duties include:

  • Regularly collaborate with institutional staff and State Treasurer’s Office staff to provide program support and troubleshoot technical and program issues.

  • Process Governor Guinn Millennium Scholarship (GGMS) extension and initial eligibility appeals.

  • Provide Systems Support

    • Daily review and monitoring of GGMS incoming and outgoing records.

    • Create and update of PeopleSoft queries, Query Based Updates, and other PeopleSoft processes.

    • Provide technical assistance to campus staff as related to statewide financial aid programs.

  • Process Funding Requests and Reconciliation

    • Carry out initial and reconciliation funding requests for state financial aid programs (with support from and in conjunction with NSHE staff and State Treasurer’s Office staff).

  • Other Duties

    • Assist in monitoring and updating the ASA departmental website.

    • Assist with intake of student complaints to System Office via phone/email and contact campus administrators as appropriate to follow up.

    • Complete miscellaneous duties as assigned.
