Position Summary

Reporting to the Program Manager, the Program Coordinator will assist in managing the operations of the Founding Dean’s Office and delivery of broad Climate School priorities and programs. The Program Coordinator will be responsible for providing programmatic, operational, event, management, and communication oversight. The Program Coordinator will play a key role in ensuring the success of the Founding Dean and work closely with the Climate School and other offices across the University.

Responsibilities

Programming and Organizational Management:

  • Working closely with the Program Manager, overseeing specific aspects of the operational and technical areas of the Dean’s Office, particularly in the areas of, budget and project management; liaising with key Climate School units; planning and staffing meetings; conducting research and preparing background materials, agendas and report for meetings and events; attend and disseminate meetings minutes.
  • Oversee event management requirements including managing signature events and meetings for the Dean’s Office, including panels, seminars, roundtables, and workshops, from concept to execution. Manage meeting and event follow-up, engaging with stakeholders as needed.
  • Develop and manage work plans with milestones and metrics for success in support of special projects and initiatives. Act as a key member on assigned strategic projects and initiatives and present project results. Manage follow-ups including the progress of action items and plans as necessary to ensure timely completion.
  • Working in collaboration with the Program Manager, oversee processes to improve efficiency within the Dean’s Office.

Communications and Outreach:

  • Independently manage and maintain the internal and external communications and outreach on behalf of the Dean’s Office.
  • Manage sensitive and confidential correspondence in a discreet and professional manner on behalf of the Founding Dean’s Office and handling inquiries and directing others to the appropriate person/team.
  • Support the Dean’s Office in external partnerships, related to events, projects, alliances, and other collaborative opportunities.
  • In collaboration with the Communications team, compose, and produce social media for the Dean’s Office.

Other Duties:

  • Work closely with the Senior Executive Assistant to manage the Dean’s Office as needed.
  • Perform all other duties as assigned.

Minimum Qualifications

  • Bachelor’s degree and/or equivalent related experience required.
  • Minimum 2-4 years of related experience required.
  • Experience gained through paid internship and/or part-time employment will be considered
  • Excellent oral/written communication and interpersonal skills.
  • Highly effective organizational skills.
  • Thorough proficiency in Microsoft Office.
  • The ability to interact with diverse populations and broad constituencies (including students, faculty, and staff) is a must.

  • Excellent analytic and research skills
  • Ability to quickly learn new systems and administrative processes
  • Extremely detail oriented.
  • Demonstrated competency in social media platforms.
  • Demonstrated interest in climate, sustainability and/or Earth science education
