About the Role
As the Program Coordinator, you will be instrumental in maintaining progress and delivering programs and projects and supporting the team’s administrative requirements. Your position requires initiative, strong inter-personal and cross-cultural capabilities as well as excellent communications skills, assisting in the end-to-end delivery of programs and projects and public awareness. Your position ensures the smooth operation and resolution of the Asialink Arts office and daily administration matters for the Director and staff as required. You will provide high quality internal and external client service and effective and efficient administration.

The position reports to the Director, Asialink Arts.

Responsibilities include:

  • Assist in the development and delivery of programs, this can include creative exchanges, strategic initiatives, events, program communications, funding application processing and administration, identification of funders and projects, and follow-up of queries as required
  • Support the coordination of multiple project/program budgets ensuring projects are delivered on budget and according to contracted timelines
  • Ensure all invoices, payments and other financial transactions are processed in a timely manner, in accordance with University of Melbourne policies and processes
  • Support the Director Asialink Arts in identifying, managing and enhancing existing key partnerships in Asia and Australia
  • Provide project management support to the team as required

About You
To be successful in this role, your highly developed interpersonal, written and verbal communication skills will assist you in working with discretion and confidentiality when completing assigned tasks to meet deadlines. You will demonstrate initiative, pay high attention to detail and can produce work of a high standard whilst fostering a high achievement work environment. You will be a person who strives off versatility, flexibility, enthusiasm and a high level of self-motivation within your workplace. You will be a confident individual who can maintain rapport and build last-longing relationships with relevant stakeholders from various diversities.

You will also have:

  • Completion of a degree or diploma qualification with at least 2 years’ subsequent relevant work experience; or an equivalent combination of relevant experience and/or education/training
  • Demonstrated experience in program/project co-ordination or management, and budget management preferably in an arts environment
  • Excellent computer and keyboard skills, especially in word processing and presentation, including a sound knowledge of software packages such as Word, Excel and PowerPoint, Electronic Mail, CRM databases and preferably InDesign
  • Desirable; Proficiency in an Asian language and lived experience in the region
