Job Summary The Faculty of Open Learning and Career Development (OLCD) develops and delivers innovative and diverse lifelong learning experiences for more than 5000 students annually to help them navigate the changing world of learning and work. Reporting to the Program Manager and Director, English Language Studies (ELS), the Program Assistant, ELS is responsible for supporting the effective and efficient administration of courses and certificates in the portfolio, including scheduling assistance, student access to learning management and information systems, the set-up of face-to-face classes, student record-keeping, and other administrative tasks that arise.
Key Responsibilities
  • Prepare English for Academic Purposes (EAP) and residential programs and any non-Destiny class lists and share with instructors. Prepare mark spreadsheets for EAP and other programs which require them.
  • Monitoring registration, preparing the class list and share with instructors for free English workshop series.
  • Recommends course and certificate process improvements to the Program Manager.
  • Supporting the Student Service Team and Program Teams with learner inquiries as required.
  • Transfers grades from the learning management system/spreadsheets to the student information system at the end of each course.
  • Carry out digitization of ELS records according to checklist on ESL Admin/Recordkeeping.
Note Due to operational requirements, the successful applicant is required to work in-person on campus.
Required Qualifications
  • Business/Office Administration diploma with approximately 3-5 years’ related experience (or an equivalent combination of education and experience).
  • Excellent communication (verbal and written), customer service and interpersonal skills.
  • Strong attention to detail, problem solving and organizational skills, and ability to multi-task in a deadline driven environment.
  • Demonstrated ability to work both independently and in a team environment.
  • Proficiency in MS Office suite (Outlook, Excel, Word).
Assets
  • Experience with Dalhousie systems (Brightspace and Destiny).
  • Experience with administrative experience in an educational institution/ university setting.
