Primary Duties and
Responsibilities:

Serve as assistant to Associate Dean, including management of Associate Dean’s calendar, provide support for assessment and accreditation, curriculum committee processes, diversity, equity and inclusion processes, faculty recruitment and hiring, strategic planning, staff meetings, adjunct orientations, and professional development for faculty and staff; Schedule in-person and virtual meetings and events for CEMB;

  • Build courses in Banner and support Associate Dean in updating and managing course scheduling via Classfinder.
  • Assist Department Chairs and faculty with daily operations including answer phones, direct office traffic during regular business hours.
  • Provide administrative support for organizational, informational, and communication needs to faculty and staff.
  • Update CEMB faculty/staff resource web pages.
  • Manage Blackboard websites for CEMB committees.
  • Serve as CEMB “ASTRA” representative and schedule catering and room booking as needed.  Serves as CEMB representative to reserve student meeting space and assist with coordinating campus space reservations for Motion Pictures student filming projects.
  • Assist with student recruiting, orientation, registration sessions, and college and university events as needed.
  • Assist and/or field student questions, lift advisor holds as/when requested by Department Chairs or Associate Dean.
  • Hire and supervise academic offices’ student work-study staff.  Facilitate processing of Argos and development of academic data reports.
  • Maintain contact database of adjunct faculty and communicate semester reminders, due dates, items needed from adjunct faculty, Assist Dean’s Staff (Assistant to the Dean & Office Manager) with FLAC information as needed.
  • Serve as point of contact for Data Integrity Gateway (DIG) course evaluation preparation.
  • Order general office supplies and Scantron materials, Post syllabi and class information sheets online (each semester).

  • Knowledge of FERPA regulations
  • Knowledge of Windows Operating System; Microsoft Office; Microsoft Explorer; Banner
  • Knowledge of the university accounting process
  • Ability to provide reports to determine classes needed
  • Strong customer service orientation
  • Strong written and oral communication skills including face to face and telephone interaction and the ability to draft business letters
  • Ability to mange details in a multitask environment
Required Education Bachelor’s degree required.
Required Experience
  • 2-4 years administrative support experience.
  • Computer skills require proficiency in MS Office and Internet.
  • Experience with Banner or other integrated databases preferred.
