Under the general supervision of the Assistant Dean, provide administrative and clerical support for the Warren College Dean’s Office. Assist with the coordination, implementation, and evaluation of several one and two-day student and parent orientation programs. Assist with the coordination, implementation, and evaluation of student and parent orientation programs, student programs, and campus events and festivals. Coordinate logistics; maintain assessment and student participation data. Assist with Warren College commencement, student recognition and other student leadership programs. Coordinate submission of purchasing and reimbursement requests with the Colleges Business Office (CBO). Serve as the primary office contact for phone, e-mail, and walk-ins.

This position will be hybrid/remote with 2 days in person and 3 days remote.

  • Experience working in an administrative capacity with student programming unit in a University setting.

  • Working knowledge of publishing and web software such as Adobe Creative Suite (Photoshop, Adobe Illustrator, Adobe InDesign, Dreamweaver, Flash and Contribute and photography). Willingness to update technology skills as required.

  • Experience with digital imaging tools including digital cameras, video cameras, scanners and other devices.

  • Demonstrated level of professionalism in providing administrative assistance, including ability to exercise independent judgment, discretion, initiative, tact and diplomacy and maintaining strict confidentiality.

  • Superior interpersonal skills including courtesy, professionalism and cooperative attitude. Demonstrated experience in communicating effectively in person, on the telephone and in writing to a diverse population.

  • Ability to multi-task, prioritize workload, meet a variety of intermediate and final deadlies that carry a high consequence of error, with frequent interruptions/changing priorities.

  • Skill in message taking and calendaring of appointments.

  • Ability to organize and update information on a continual basis.

  • Basic math skills and ability to compile and tabulate statistical data.

  • Strong computer skills, with experience in spreadsheets, charts, or graphics to display data, and proficiency adapting programs to meet sophistication required. Knowledge of computer-based applications utilizing databases, word processing, spreadsheets, electronic mail, and web development tools.

  • Skill in dealing with and working well with people in a heavy student traffic area.

  • Good writing skills with knowledge and understanding of proper formats, grammar, and proven skill proofreading.

  • Skill to work independently and ability to participate effectively as a team member.

  • Ability to develop and maintain records management systems.

  • Willingness and ability to meet University and department standards for attendance.

  • Willingness and ability to embrace and follow the UCSD Principles of Community.

  • Ability to operate standard office equipment such as copiers, fax machines.
