JOB PROFILE SUMMARY:

Provide efficient and effective administration to the Mastercard Foundation Scholars Program team, in accordance with the unit’s goals and objectives, while ensuring coherence with the University’s mission and culture. Implement and update existing administrative processes and policies for a unit. Develop administrative standards, practices and systems. Provide a liaison function with other units (Financial Services, SSAO etc.) and with external organizations that provide services for the Scholars Program. Support activities related to general administration including, but not limited to: finance, human resources, communications, student affairs, physical resources.

KEY ROLES:

Administer, analyse, supervise, manage or direct the activities related to the University’s administrative procedures, policies and processes to support the administration of a faculty/department/unit. Perform and organize activities to support operations of the University such as administration, finance, human resources, communications, student affairs, and physical resources. Foster relationships with other units and external organizations.

FUNCTIONS:

Perform and organize activities to support the daily operations of the unit by ensuring that administrative services are carried out in accordance with established goals and objectives. Implement administrative procedures or systems that are moderately complex in support of the faculty, department or unit’s operations and ensure activities meet or exceed established quality requirements. Work directly with the Finance Team within Deputy Provost Office to assist with the preparation of budgets for the Scholars Program. Ensure that administrative procedures are in line with the agreement made between the Mastercard Foundation and McGill University, for a compliant MCF Scholars Program. Monitor and reconcile accounts on a monthly and an annual basis to ensure activities respect set budgets. Assist in the preparation of reports and statements for McGill and the Mastercard Foundation. Administer computer software licenses and distribution of hardware. Maintain the administration of the departmental finances, e.g. P Card, Department Card and FOAPAL usage. Maintain office space inventory and interact with facility service units for required services to the building, such as renovations, security, emergency responses, safety, etc. Compile statistics and data for inclusion in reports. Provide support for the Program Advisors in their meetings with Scholars Meet with Scholars directly to address logistical issues (e.g. stipends, medical payments, travel bookings, immigration application payments etc.) Assess and resolve administrative problems. When appropriate, inform Program Manager and formulate recommendations.
