Production Manager Assistant

The Production Manager Assistant provides ongoing administrative and operational support for events, rehearsals, classes, and productions for the Department of Music. With broad production experience and excellent organizational skills, the position supports the Production Manager, and sometimes Program Manager, in managing the master calendar for the entire department (including academic courses, rehearsals, performances, and special events), the technical schedule, finances, and other logistics of the Music Department production and performance activities.

 

The position must be available for evenings, weekends, and extended work days as needed.

Administrative and Operational Support and Oversight

-Assist the Production Manager, and Program Manager, with operational management and administration of curricular and co-curricular production/performance-related activities
– Schedule classes, masterclasses, rehearsals, and performances across campus using online scheduling software.
– Ensure that master calendars for the department (including Departmental Artsvision calendar and Campus EMS calendar) are accurate, up to date, and in sync throughout the year.
– Work with faculty, staff, artists, and clients to grant access to Music Dept spaces and provide support for them.
– Purchase materials and equipment in support of programs and maintenance activities.
– Track expenses over the course of the academic year.

 

Production Support

Assist the Production Manager with the management of Music Dept activities and events. Specific responsibilities may include:
– Coordinate the scheduling and onboarding of professional overhires, casuals, and production technicians to work with the department on performances, recordings, and other activities as needed
– Schedule piano tunings and initiate instrument moves across campus.
– Work in a stage management capacity on evening and weekend concerts as needed.
– Change room setups between certain classes.
– Work with technicians to maintain and update lighting, sound, and video systems.

 

Academic Support

– Works directly with undergraduate students to support their senior recitals, which are requirements in fulfillment of the certificate programs offered by the Department
– Works directly with graduate students to support their dissertation research, including scheduling recording spaces and equipment, connecting the students with the appropriate staff, technicians, and production crew, etc.
– Works directly with faculty to ensure that production elements/technology and/or crew required for specific courses are scheduled and set up, ready for them to teach
– Field requests from and provide logistical support for other academic departments and institutes looking for space, equipment, and/or crew to support their performance-related events in our spaces.

Position requires:

 

• 3 years experience in stage management or live event production. Demonstrated knowledge of stagecraft and production skills.
• Knowledge of Windows and MacIntosh operating systems, and Microsoft Office Suite.
• The position requires work hours during evenings and weekends and sometimes in excess of 8 hours in a day.
• An open-minded interest/curiosity about all music
• Strong communication skills (written and verbal)
• Demonstrated ability to handle multiple assignments with different deadlines and respond quickly to changing organizational needs and priorities
• Strong organizational skills, attention to detail, and creative problem-solving
• Proven excellent judgment and ability maintain high levels of discretion
• Demonstrated desire to be a strong, contributing member of a professional team of administrators
• Understanding of the values and mission of the department and of Princeton

 

Previous experience working in a higher education setting is a plus.
