About This Opportunity  

We are seeking a Principal, Contracts Coordinator to assist the Contract Managers in the delivery of preventative and corrective maintenance, facility, grounds, cleaning, waste and pest services and the management of service contracts at The University of Queensland.

Key responsibilities include:  


Client Focused Strategy and Planning

  • Develop and implement effective multi-dimensional communications plans to ensure good stakeholder understanding of the role of services including processes for service requests and to provide feedback. Provide updates to UQ media, senior management and Sustainability office to highlight service initiatives

  • Ensure that processes and procedures are in place to ensure highly effective customer service and client liaison across facility management services

  • Identify and consult with stakeholders both internal and external and manage clear and transparent communications processes and gain an understanding of service level requirements

  • Ensure P&F Intranet editing and updates are provided as and when required for relevant up to date internal communication and awareness/training


 

Operational Service Delivery Excellence

  • Liaise with contractors to set service delivery standards and embed solutions in work processes

  • Maintain the contractor management system to ensure contractor compliance

  • Ensure that routine monitoring of service delivery standards is effective and that service KPIs are achieved

  • Identify and investigate escalated or enduring issues that negatively impact KPIs and ensure that solutions are identified and implemented

  • Advise on improvements required to service delivery processes

  • Monitor incoming service requests, identify trends and initiate actions to ensure service delivery matches requirements

  • Investigate and resolve complaints and meet with stakeholders as required

  • Maintain the Furniture sub-category procurement management process

  • Develop service plans, asset registers and schedules for new and existing buildings in conjunction with all stakeholders

  • Assist in managing tender processes to facilitate efficient facility management contracts across all maintenance services

  • Ensure a consistent approach is maintained in relation to service delivery

  • Identify beneficial projects for facility services and project manage implementation

  • Ensure OH&S and Environmental controls are in place as required and legislative requirements are met

  • Work with the Sustainability Office to develop awareness materials to assist in meeting sustainability targets

  • High level problem solving across facility management responding to client requests and issues as they arise

  • Any other duties as reasonably directed by your supervisor.

About You

  • Completion of tertiary level qualifications with subsequent relevant work experience in a trade or maintenance environment (ie Carpentry, Electrical, HVAC and Plumbing, Cleaning, Waste etc), or an equivalent combination of relevant experience and/or education/training.

  • The ability to identify organisational requirements, develop procedures and identify areas for improvement to support service delivery and quality assurance requirements.

  • The ability to manage operational aspects of service contracts across all disciplines in maintenance and soft services.

  • The ability to work within a team structure as well as work with minimum supervision.

  • The ability to organise work efficiently and effectively and prioritise workloads to meet deadlines while working under pressure.

  • The ability to communicate effectively with both internal and external stakeholders.

  • Experience in tender and contract writing as well as setting up contractors after contract award in the appropriate contractor management system.

  • The ability to work with stakeholders to develop awareness and understanding around Maintenance and Soft Services activities including new service plans.

  • Competence in the interpretation and application of policy and procedures and an ability to exercise initiative and make sound judgments.

Desirable

  • Experience in a maintenance service industry and demonstrated ability to supervise and motivate a small team of staff.

  • Demonstrated experience successfully managing contractors delivering a range of services across multiple sites.

  • Demonstrated experience working in a large diverse organization developing strong working relationships with internal and external customers. 

What We Can Offer  

This is a Full-time, Continuing position at HEW Level 7.

The full-time equivalent base salary will be in the range of $90,538.40 to $98,719.38 plus 17% superannuation. The total FTE package will be in the range $105,929.93 – $115,501.67 per annum.
