Job Summary The Department of Undergraduate Medical Education (UGME) within the Faculty of Medicine, delivers an informative and challenging curriculum for the undergraduate students enrolled in the Medical School, which will prepare them for the next stage of their medical education. Reporting to the UGME Administrator, the Pre-Clerkship Coordinator (Med 2) will be an integral member of UGME in the delivery of the MD program, administering and coordinating pre-clerkship curriculum and student assessments.
Key Responsibilities
  • Collaborate with senior UGME staff to coordinate the development of the pre-clerkship units. Develop schedules, ensure integration of units and resolve conflicts in Med 1 and Med 2 schedules. Maintain changes and edits electronically. Create individual schedules for students as required.
  • Serve as the primary administrative resource person for faculty and students regarding curriculum for the core units.
  • Administer on-line curriculum tools. Distribute program evaluation tools. Ensure all curriculum lecture material and administrative curriculum documents are in the schedule and released appropriately.
  • Act as the primary administrative resource person for exam development in the pre-clerkship units. Ensure adherence to procedures developed by UGME. Maintain examination question database. Develop, draft and revise examinations in consultation with Unit Heads.
  • Produce reports of preliminary examination results for review by Evaluation Administrator and Unit Heads. Debrief Unit Head and other stakeholders at the completion of unit. Identify successes, issues, and offer recommendations from an administration standpoint.
  • Coordinate, facilitate and supervise student examination review sessions. Supervise exam invigilation.
Note Periodic evening and weekend work is required for exam invigilation and meetings. Scheduling and/or compensation will be in accordance with the collective agreement.
The successful candidate is expected to be available to work on campus, and will be required to provide proof of vaccination or twice-weekly COVID tests in accordance with University policies
The successful applicant will be eligible for hybrid work (combination of work on campus and remote work) as agreed by all parties based on operational requirements and university guidelines.
Qualifications Business/Office Administration diploma with approximately five years’ related experience (or equivalent combination of training and experience) is required, preferably in a health professional education environment. Proven excellent interpersonal and communication (verbal and written) skills are required. Must have demonstrated initiative and organizational skills as well as the ability to work independently and multi-task in a deadline driven, confidential team environment. Proficiency in MS Office 365 applications and database systems is required. Knowledge of medical education programs and/or academic health care environment an asset, as is knowledge of Brightspace, One45 and/or Sharepoint.
