Job Summary The Department of Family Medicine is one of the largest and most complex clinical science departments within the Faculty of Medicine and is dedicated to excellence in patient care, teaching, research, and administration within the discipline of Family Medicine in a distributed learning environment (across three provinces). Reporting to the Medical Education Manager (MEM) , the Postgraduate Site Administrator is responsible for providing high level, comprehensive management of the Dalhousie Halifax Site postgraduate program by effectively coordinating all administration activities including special events as well as establishing procedures and guidelines.
Key Responsibilities
  • Acts as the principle contact and primary resource for the Department of Family Medicine’s Residency Program for Halifax based residents while independently coordinating and administering the program for the Halifax Site.
  • Ensures all program requirements are known and are being followed by both resident and faculty members and manage all recruitment, program and administration related correspondence and inquiries relative to the Halifax based program.
  • Through supervision of the Residency Education Scheduler (C6 – .5 FTE) ensure all clinical learning experiences / clinical rotations are scheduled for residents. Following established guidelines ensure completion of residency criteria are meet and communication with services is done in a professional, timely and effective manner.
  • Manages the evaluation process for the Halifax Site residents. Ensures feedback for learners, faculty and academic presenters is reviewed, researched, and advice/recommendations prepared and distributed as required as applicable to and in regards to administration policies and procedures.
  • Manages and participate in site special events, such as but not limited to: graduation, year-end and orientation activities. Responsible for the administrative financial management of events and the Halifax Site postgraduate budget.
  • Facilitates all CaRMS (resident selection) site specific requirements as well as accreditation information and activities for the Halifax Site.
Note The successful applicant will be eligible for hybrid work (combination of in-person work on campus and remote work) as agreed by all parties based on operational requirements and university guidelines.
Dalhousie’s vaccine mandate has been suspended at this time, and employees no longer need to provide proof of full vaccination. However, health and safety risks to our community will continue to be monitored and a vaccine mandate may be reinstated if necessary.

Qualifications Undergraduate degree in business or a related field with three to five years’ progressive relevant experience in administration in a university setting (or an equivalent combination of training and experience) is required. Superior written and oral communication skills is required Experience with supervision of staff is an asset. Ability to work independently, advanced attention to detail, ability to multitask and use initiative is expected. Demonstrated advanced computer proficiency required including software packages (MS Office etc.). Experience with webinar systems (Zoom, MS Teams) or on-line tools would be an asset. Knowledge of the medical schools and technologies such as Dalhousie intranet DalMedix, One45 (online evaluation program) or similar software will be considered an asset.
