The Office of the Vice Provost for Graduate Education (VPGE) is a dynamic and fast-paced team that delivers programs to Stanford’s 9,000+ graduate students and 3,000+ postdoctoral scholars. The office works collaboratively across the university, with schools and other VP areas, to enhance the graduate educational experience. VPGE supports programs, administration, and service to the university community and graduate students in five portfolio areas: fellowships and funding, professional development, diversity and inclusion, interdisciplinary learning, and academic guidance.

Under the direction of the Associate Vice Provost, you will provide complex administrative support to the office with minimal supervision. Responsibilities include composing and coordinating official communications for the Vice Provost of Graduate Education and Postdoctoral Affairs, senior VPGE staff, and with departments on campus. You will also manage projects related to policy and requests for funding from faculty and campus partners. The position is particularly suited for those interested in advancing their careers in higher education administration – this is a unique opportunity to work with individuals across all areas of graduate student support and success, and with those in key leadership positions, at one of the top universities in the country.

In support of the university’s flexible work initiative, this position may be eligible to be “hybrid,” working both from home and the Stanford main campus.
In this role, you will:

  • Research, compose, and edit correspondence, proposals, presentations, stewardship, and award letters.
  • Create, maintain, and ensure the accuracy of content in various VPGE and university documents, displays, reports, brochures, presentations, and/or websites.
  • Oversee funding requests from external groups, utilize online application tools, draft correspondence, and manage data collection during and after the process.
  • Write and revise policies related to graduate education to meet student and university needs, and to ensure alignment of practices across departments and schools.
  • Plan and schedule meetings without prior consultation, resolve calendaring conflicts, and arrange travel.
  • Review material and extract pertinent information for briefing purposes.
  • Manage complex projects with multiple stakeholders, both internal and external to the Office of the VPGE.
  • Work closely with the executive assistant to the vice provost on projects and provide back-up for front office management needs, including staffing the front desk and greeting visitors.

To be successful in this role, you will bring:

  • A high school diploma and six years of administrative experience, or combination of education and relevant experience.
  • Excellent verbal and written communication and editing skills.
  • Excellent organizational skills and attention to detail.
  • Experience with project management tools and principles.
  • Proven success in following through and completing projects with minimal supervision.
  • Advanced computer skills and demonstrated experience with office software and website management.
  • Excellent customer service and interpersonal skills.
  • Ability to prioritize, multi-task, and assign work to others.
  • Ability to take initiative and ownership of projects.
  • Experience in developing, considering, and applying policy.
  • Ability to routinely and independently exercise sound judgment in making decisions.

In addition, preferred requirements include:

  • A bachelor’s degree.
  • Experience working in higher education, especially graduate education.
  • Experience with complex policy development and revision across multiple stakeholders and units.
