Position Overview

The Operations & Maintenance team team in Facilities is currently seeking a Full-time Regular Parts Person Assistant.

This position reports to the Supervisor, Facilities Management Operations, and will administer, identify, coordinate all parts and supply requirements for the university Operations & Maintenance team. Direction and Guidance on the day to day accountabilities will be assigned by the Parts Coordinator.  

This position may require work to be carried out with the following conditions: heavy lifting, year round indoor and outdoor responsibilities. This is a hands-on warehouse job, which is sometimes noisy and incurs lots of foot traffic. A clean Driver’s Abstract will be required, as this position includes use of the company vehicle for deliveries to buildings across Main, Foothills and Spyhill campuses.

Position Description

Summary of Key Responsibilities (job functions include but are not limited to):

  • Use Microsoft office suite of tools and Parts Module in ARCHIBUS system to administer parts inventory both centrally for the university as well as within the 5 Facility Management (FM) zone parts stockroom locations across campuses.
  • Supports Parts Coordinator with physical inventories by conducting computer counts.
  • Administer and maintain stock rotation.
  • Administer and maintain stock consistency in the FM Zone parts stockroom locations.  Under the guidance of the Parts Coordinator, creates any additional Parts Stockroom Locations.
  • Prepare requisition orders to replenish parts and supplies, reviewing requisition orders for accuracy and verify that materials, equipment and stock are not available from current inventories.
  • Organizes and maintains all receipts from purchases made using their assigned purchasing credit card and submits statements and receipts on time on a monthly basis to FM Administration for reconciliation.
  • Source and obtain parts and supplies as coached by the Parts Coordinator.
  • Administer purchase orders, invoices and requisitions, as required through online systems, calculating and confirming costs and charging or forwarding invoices to appropriate accounts.
  • Process incoming requisitions and issue or distribute parts and supplies for internal usage, using computerized inventory system.
  • Contact suppliers to schedule deliveries and to resolve conflicts such as shortages, missed deliveries and other problems.
  • Administer and maintain all records in the central and decentralize parts shops, using either manual or computerized inventory system.
  • Store items in an orderly and accessible manner in a warehouse, tool room, supply room or other area.
  • Perform troubleshooting analysis to determine system bugs, glitches, and breaks with our Enterprise level Management desktop application.
  • Under the guidance of the Parts Coordinator, trains Craftsperson’s, Supervisors, and Managers to withdraw and charge parts accurately from the Kiosk locations using their mobile or desktop application and assist craftsperson’s in troubleshooting system bugs, glitches, and breaks with our Enterprise level Management mobile phone application.
  • Under the guidance of the Parts Coordinator, assist in developing requirements for vendor competition bids.

Qualifications / Requirements:

  • Minimum one-year College/Trades program for Parts Clerks/Materials Inventory Management and/or Military Supply Technician QL5/DP preferred.
  • A minimum of three years experience in parts allocation, inventory management and/or shipping & receiving required.
  • Strong computers skills in Microsoft Office suite and other related computer programs and systems required.
  • Must demonstrate a safety-conscious attitude.
  • Must have a proven record of being able to work with others in a team environment, as well as being able to work independently with minimal supervision,
  • Must be willing and able to lift between 11 and 25 kilograms.
  • Must hold a valid Class 5 Alberta Drivers License. A Drivers Abstract will be requested.
  • Good communication and interpersonal/rapport building skills with a positive can-do attitude.
