Job Description:

Front Desk/Reception Duties: This position handles duties as the receptionist, such as answering phones, greet students, faculty and visitors to the Engineering School of Sustainable Infrastructure and Environment. When the mail is delivered every day, this position distributes mail to the appropriate mailbox.  This position also is responsible for helping staff and faculty members send parcels and documents via Federal Express and UPS.  This position will monitor all issuance of keys and after-hour access for the faculty, staff and students assistants within the ESSIE department. This position will order office supplies for the office as needed through myUFMarket. This position also manages the calendars for the conference room in 365 Weil, the ESSIE Computer Lab, Polycom, Instron, and three projectors. This position maintains the calendar and vehicle use log for the department vehicles.  When a vehicle is requested it is logged on the calendar and they are given the keys and the clipboard for the vehicle.  When the vehicle is returned this position ensures that the person who checked out the vehicle completed the log as well as a fuel receipt for the appropriate place to charge the fuel to. Responsible for the tidiness of the conference rooms and kitchen at the end of each day as well as making sure all doors to the suite and conference rooms are locked and secured. Maintain and update Faculty and Staff directory.

General Administrative Duties: This position will serve under supervision of the Director’s assistant or designee, assists with planning of department events.  Events include but are not limited to:  Annual ESSIE Alumni BBQ, Annual Advisory Board meetings and Annual Holiday party. This position will assist with reservations for any rooms needed for event, help coordinate caterers for any food that will be served and ensure set up and clean up before and after events. In addition, this position is responsible for assisting with booking travel for business Chapter organizations trips; hotels, flight and car rentals. Will act as liaison for guest Seminar and guest speakers – arranging itinerary, travel, lodging, dinner reservations. The position also assist in preparation and distribution of scholarship in the online student record system

Expected Salary:

$15 per hour commensurate with experience

Minimum Requirements:

A high school diploma and two years of appropriate experience. Appropriate college coursework or vocational/technical training may substitute at an equivalent rate for the required experience
