Operations and Administrative Affairs Coordinator

Purpose of the job

S/He is responsible for planning and managing all administrative operations of the institution and its affiliated projects, in order to provide its needs for human competencies, systems, technologies, work methods and logistical services, and works to implement the approved policies, procedures and regulations in the field of human resources, logistics, supply, media, communication, security, safety and external relations, in coordination with the relevant parties inside and outside the institution. The Operations and Administrative Affairs Coordinator is responsible for conducting evaluations of operations within the institution in a way that ensures improving efficiency and effectiveness and facilitates administrative operations for the rest of the departments, sections and employees who are stakeholders.
Required tasks
Participates in the strategic planning process of the institution and supervises the implementation and achievement of the strategic objectives of his department according to the approved strategic plan.
Participates in the meetings of the strategic management team to coordinate work with other departments and develop their various policies.
Coordinates and supervises the management of the work of the supporting units (human resources – purchasing and logistics, security and safety, and administrative affairs) and their compatibility with the approved policies and procedures.
Develops an annual plan for the work and programs implemented by the units under his management, including their budget and performance indicators, based on the needs of the other departments and units of the institution and the approved strategy and policies of the institution.
Supervises the identification of the institution’s needs for manpower through the Human Resources Department in coordination with the other offices, departments and units of the institution.
Supervises the preparation of the annual salary, wage and bonus budget in coordination with the financial department.
Supervises the implementation of the work systems, regulations and procedures for employee affairs adopted by the institution and ensures their integrity and compliance with the laws and legislation of the country of work.
Manages the process of monitoring and documenting the institution’s assets in his work area, including fixed assets with their material values, in coordination with the financial management, following up on them, and assigning logisticians to inspect them periodically and submit reports on their condition.
Resolves disputes and conflicts that may arise between internal or external parties and works to provide a healthy work environment characterized by stability and friendly relations between employees and developing team spirit and loyalty to the institution.
Carries out any other tasks assigned to him by his direct manager according to his specialization.
Supervisory Responsibilities


All departments and cadres affiliated with him in the institution’s offices.
Communication levels
All departments and offices of the Foundation, the Board of Directors, donors and partners.
Administrative Authority
Directing and coordinating the activities of employees under his supervision and ensuring their compliance with institutional policies and procedures.
Monitoring the daily performance of employees and evaluating their performance periodically.
Making decisions related to the distribution of tasks and work scheduling.
Organizing the overlapping activities between the various departments under his supervision and ensuring their consistency in a way that contributes to achieving the desired goals.
Required Qualifications
A university degree in business administration, economics, or equivalent related professional disciplines.
Required years of experience
Experience in the administrative or supervisory field for a period of not less than 3 years.
Experience in the required job position for a period of not less than 7 years.
Experience in humanitarian or relief work for a period of not less than 5 years.
Competencies, capabilities, skills and training required:
Proficiency in Arabic and English, speaking and writing at an advanced level.
High leadership and guidance skills, with effective development and follow-up skills.
Skill in creating practical solutions to daily challenges.
Efficient in organizing work and setting priorities efficiently.
Effective communication and negotiation skills, with the ability to deal with others professionally.
Ability to coordinate resources and manage overlapping tasks efficiently.
Handle high workload and work in complex environments while maintaining professional ethics.
Ability to work independently or as part of a team.
Excellent use of computers and office programs.
Accuracy, commitment to deadlines, and responsibility.
Any additional requirements
Good knowledge and sufficient familiarity with the policies and procedures followed within the Operations and Administrative Affairs Department in accordance with the laws and regulations of humanitarian work in Syria.
