Normal Work Schedule: Monday-Friday 8:00 a.m. – 4:45 p.m.
Job Summary: Under moderate supervision, performs general office, administrative and secretarial duties with some variety and complexity. Follows generally prescribed procedures using limited judgment. Typical duties may include receiving, screening and routing telephone calls, mail and visitors, arranging itineraries/agendas, setting up and maintaining files (database and/or hardcopy) typing a variety of material, preparing purchase requisitions, miscellaneous disbursement vouchers, departmental transfer authorizations, travel expense forms, compiling data and preparing reports, maintaining inventory and purchasing office supplies and materials, maintaining budget records, and acting as daily liaison to other offices. Position may supervise student workers or other clerical staff.
Additional Department Summary: First point of contact for people who have an interest in or business with the Office of Disability Services. Carries out duties and responds to inquiries of varying complexity. Receives, screens, and routes a large volume of calls. Greets and assists visitors. Receives, routes, and responds to emails received through the office email account.
Provides information regarding the ODS registration process and how to locate resources on the website. Schedules appointments for up to 7 staff. Establishes and maintains electronic records, including receiving and uploading disability documentation, processing new applications, and assigning applications to the appropriate staff member.
Under the supervision of the Office Manager, assists in coordinating tasks of student employees.
Required Minimum Qualifications: High school diploma or GED and two (2) years of general office experience; OR Associate’s degree or higher.
Skills and Knowledge: Punctuality is a necessity. Basic knowledge of personal computer use, including emailing, word processing, scheduling appointments, data entry. Use of Microsoft Office programs and ability to learn an electronic record system.Must present with a pleasant and friendly demeanor in a fast-paced office environment. Strong public relation and interpersonal skills. Clear and efficient verbal and written communication skills. Ability to maintain strict confidentiality.
