Office Associate II – Counseling Center – 517431

Pay Grade/Pay Range:  53 Hourly (non-exempt) – Minimum – $ 11.25 Midpoint – $ 15.44

Normal Work Schedule: Monday – Friday 8:00am to 5:00pm

Job Summary: Under moderate supervision, performs general office, administrative and secretarial duties with some variety and complexity. Follows generally prescribed procedures using limited judgment. Typical duties may include receiving, screening and routing telephone calls, mail and visitors, arranging itineraries/agendas, setting up and maintaining files (database and/or hardcopy) typing a variety of material, preparing purchase requisitions, miscellaneous disbursement vouchers, departmental transfer authorizations, travel expense forms, compiling data and preparing reports, maintaining inventory and purchasing office supplies and materials, maintaining budget records, and acting as daily liaison to other offices. Position may supervise student workers or other clerical staff.

Additional Department Summary: The Office Associate II coordinates front office operations alongside other Office Associate IIs, under the direct supervision of our Administrative Specialist. Manage phone lines, schedule appointments, check-in student clients, manage aspects of therapist schedules, and other customer service activities. Provide a professional, pleasant, and welcoming first point of contact for clients. Remain calm but firm and follow established procedures when clients are often in acute distress during their first contact. Observe appropriate professional boundaries and operate the administrative area in an orderly fashion.
Responsible for completing required training and promoting a safe, hospitable, and respectful workplace.

Required Minimum Qualifications: High school diploma or GED and two (2) years of general office experience; OR Associate’s degree or higher.

Skills and Knowledge: Solid computer skills (transcription, word processing, database, publishing, etc.). Excellent verbal and written communication skills. Ability to manage clients who are demanding or threatening until a counselor intervenes. Knowledge of office equipment. Working knowledge of center procedures and decision trees. Demonstrated commitment to expand multicultural knowledge, awareness, and skills as evidenced through: demonstrating self awareness; understanding and valuing others; demonstrating knowledge of social inequalities; interacting effectively with a diversity of people; fostering equity and inclusion.

Preferred Qualifications: Experience in medical or mental health care agencies.
