This position is located in Chillicothe Ohio. Works as a part of the Extension team in Ross County to provide office services and secretarial support related to programming, records, customer service, and resource management. Operates in team environment to handle correspondence, mailings, copying, filing, inventory, and maintaining volunteer/4-H member/club/Jr. Fair records. The primary goal of the position is to support the work of the programming staff. The position requires working 40 hours per work, typically 8:00 am – 4:30 pm.
Knowledge and Skills Desired
- Knowledge of modern office procedures and methods including telephone communications, office systems, and record keeping
- Knowledge of modern business communications, including e-mail, internet, website, apps, social media
- Proficient in use of software packages including Microsoft Word, Excel, Power Point, Microsoft Teams, and Skype
- Must possess strong organizational skills and operate efficiently in a multi-tasking environment
- Must possess strong communication skills both verbally and written to communicate with a diverse clientele and formats
- Ability to establish priorities, work independently, and proceed with objectives without supervision
- Ability to handle and resolve recurring issues
Additional Information:
Program Management Support 40%
- Coordinates and maintains volunteer processing and tracking which may include: application entry, reference requests and responses, setting up interview schedules, and establishing and maintaining volunteer files
- Maintains online database for members and volunteers
- Assists with enrollment entry maintenance/reporting, maintains volunteer 4-H member/club records
- Prepares 4-H reports, including various project and volunteer reports
- Orders and maintains volunteer and member recognition items
- Keeps inventories/orders/distributes 4-H literature/project books
- Collects and submits club financial records such as Form 990 and EIN numbers
Customer Service 25%
- Direct customer service with clientele via in-person, phone, and email
- Primary greeter for in-person contacts, backup for phones, in charge of answering/referring questions to appropriate staff
- Responsible for conveying accurate and timely programmatic information to the public
Communication 25%
- Develops and maintains social media, 4-H Now app, and website content
- Drafts and develops newsletter
- Basic graphic design and development of correspondence, marketing, and virtual media
- Complies with University branding policies
Other Duties 10%
- Jr. Fair support as needed
- Receiving and recording sales and registrations
- Prepares deposits
- Supports all Extension programming efforts as requested
- Participate in office stewardship roles
