The Shared service Unit (SSU)

The Shared service Unit (SSU) is an operational center of excellence providing workplace solutions and operational support to the hosted units and country program based in Amman. The SSU was set up to inject energy and synergy with the objective of providing succinct support services to the IRC entities hosted in Amman. Currently, the MENA (Middle East and North Africa) regional office, Jordan Country program, Syria – Amman Office, and the Occupied Palestine Territory (OPT) emergency response are all hosted and supported by the Shared Services Unit (SSU), which is currently providing operational support to a total of over 200 staff members. The objective of the SSU is to eliminate duplication and leverage on economies of scale to provide efficient and effective services to its stakeholders.

Job Overview/Summary:

The Protocol Officer will report to the SSU Deputy Director and will be responsible for all government interfacing protocol responsibilities. This includes processing ensuring compliance with the work permit and residency status for all expats and visiting staff.  The role acts to facilitate a smooth operation and provide a link between the government operations and IRC.

Major Responsibilities:

  • Represent IRC offices in Jordan and act as a main focal point with local Authorities, officials and governmental entities.
  • Follow up with the shipment’s details with customs clearance.
  • Support IRC offices with issuing the Tax number to proceed with the shipment details for the employees.
  • Act as a liaison focal point between embassies and consulates in Jordan and IRC staff and provide needed support for applying, inquiring, and issuing visas for off-site meetings or events when needed.
  • Lead the process of visa renewals, residency, and work permits, for IRC non-national staff and their families
  • Act as a focal point between HR and Finance and local social security offices and taxation departments in Jordan and support and resolving outstanding issues in consultation with HR department.
  • Act as a focal point between Security, Supply Chain, Programs and SRAD, MOI, MOL and other ministries and governmental bodies in Jordan to support resolving outstanding issues, approvals, permits, agreements and other.
  • Lead the process of obtaining events security clearance and necessary approvals in liaison with Administration manager and the requestor.
  • Obtaining necessary approvals or custom clearance for IRC office shipments.
  • Ensure the legal representation of IRC offices in line with government regulations and update accordingly.
  • Obtain/ renew all registration certificates and legal documents for MC regional office
  • Maintain databases, ensuring details are accurate and updated in a timely manner. This includes development of accurate trackers and alerts for expiry of work permit and residency passes.
  • Work closely with the IRC Legal counsel to monitor and advise the Deputy director on changes to the administrative process within the respective ministries of government.
  • Ensure compliance with all local and international legal requirements and advise IRC leadership on any changes to laws or regulations that could impact operations.
  • Keep an updated archive of staff legal documents stored online.
  • Facilitate the resolution of conflicts or issues that may arise between the IRC and government bodies, ensuring prompt and diplomatic handling of sensitive situations.

Minimum Qualifications:

Education & Work Experience: Bachelor’s degree with 2 years’ experience or High School diploma with 5 years of progressive experience.

Demonstrated Skills and Competencies: Self-motivated, honest, highly responsible, and punctual, Ability to improvise and be flexible when needed working under pressure. Excellent communication skills both verbally and in writing.

Language Skills: very good in Arabic and English

Certificates or Licenses: Proficiency in Microsoft Office
