Job Description (Roles and Responsibilities)

Main purpose of job:

To provide administrative and operational support for the delivery of transport and security functions at Post. The role serves as a compliance and coordination function within the Transport and Security team, supporting the Post Security Manager through effective coordination of transport services, maintenance of accurate and audit-ready records, and monitoring of safety, security, and operational compliance requirements. Reports to the Post Security Manager.

Roles and responsibilities / what will the jobholder be expected to achieve?

Transport Coordination & Operations

  • Support the day-to-day coordination of Embassy transport services, including scheduling and allocation of drivers and vehicles
  • Liaise with internal stakeholders to ensure transport support is aligned with operational requirements
  • Provide coordination support during periods of increased operational demand

Administrative Support (Transport & Security)

  • Provide administrative support to the Post Security Manager and transport/security functions
  • Maintain accurate transport and security-related records, logs, and documentation
  • Support coordination of security requirements linked to transport activities

Compliance, Assurance & Records Management

  • Maintain transport and security compliance records, including operational documentation and audit-ready files.
  • Monitor and report on transport and security compliance requirements, escalating gaps or risks to the Post Security Manager as appropriate.
  • Support transport-related incident reporting, investigation follow-up, and tracking of lessons identified.
  • Maintain transport risk assessments, journey management records, and related control documentation.
  • Monitor vehicle and driver compliance, including documentation, readiness, and adherence to relevant transport requirements.
  • Coordinate transport security arrangements for official visits, VIP movements, and major events.
  • Support transport-related security assurance and compliance activities.

Fleet Administration & Compliance

  • Monitor vehicle maintenance schedules and support fleet readiness
  • Ensure transport documentation and logbooks are accurate and audit-ready
  • Support compliance with safety, regulatory, and internal control requirements

Supplier & Service Coordination

  • Assist in coordinating external transport providers where required
  • Support verification and coordination of transport-related payments with Finance
  • Maintain coordination with service providers to support continuity of services

General Administrative Support

  • Support transport and security processes and documentation
  • Assist in improving coordination and efficiency of service delivery
  • Contribute to the effective delivery of CST support services
  • Provide support during visits and major events, which may occasionally require evening, weekend, or extended working hours.

Essential qualifications, skills and experience

  • Strong organisational and coordination skills, with the ability to manage multiple workstreams and competing deadlines.
  • Excellent written and verbal communication skills in English, with the ability to draft clear, accurate and professional correspondence
  • Demonstrated discretion, professionalism and sound judgement when handling sensitive information.
  • Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint).

Language requirements: English and Filipino

Level of language required: Proficient

Desirable qualifications, skills and experience

  • Exposure to security administration or security operations support.
  • Awareness of business continuity or emergency response processes, with experience supporting related coordination tasks.
  • Experience supporting incident reporting, follow-up actions, or tracking of agreed actions.
  • Experience providing administrative or coordination support for official visits, senior movements, events, or VIP support activities.
  • Familiarity with working in structured or compliance-focused environments, including ISO-driven or similar process-led settings.
  • Experience providing administrative support to expatriate staff, senior colleagues, or international stakeholders.

Working Patterns:

36 hours per week – 9:00-17:00

Employment offers are subject to successful clearance of pre-employment checks. Staff recruited locally by the British Embassy Manila is subject to Terms and Conditions of Service according to local Philippine employment law.

All candidates must be legally able to work and reside in the country of the vacancy with the correct visa/work permit status or demonstrate eligibility to obtain the relevant permit. Employees who are not liable to pay local income tax on their Mission salary may have their salaries reduced by the equivalent local income tax amount.
