Medical Secretary II – Pediatrics

Position Summary
This position performs secretarial duties, such as typing medical dictation, preparing spreadsheet/report formats, filing, etc.

Job Description

Primary Duties & Responsibilities

  • Types reports, agendas and other documents using PC-based software for scheduling, spreadsheet analysis, budget/finance reports, clinic statistical data, etc.
  • Transcribes medical documents, such as letters, correspondence, medical record notes, nurse’s notes, and manuscripts.
  • Maintains medical records and notes.
  • Answers telephone, takes messages, and forwards to appropriate persons.
  • Maintains the daily appointment schedule for visitors and patient office visits.
  • Schedules neuro-oncology patient visits for multi-disciplinary clinic visits.
  • Schedules neuro-oncology imaging in coordination with visits and care plan as instructed by medical team.
  • Coordinates neuro-oncology patient care with multi-disciplinary team under direction of medical team.
  • Maintains file system, including retrieval, copy and disposal of files.
  • Obtains medical records and imaging from outside institutions. Uploads information into medical record and/or creation of new chart.
  • Initials insurance verification. Obtains and maintains authorization for neuro oncology specialist consult visits as indicated by health plan.
  • Assists with redcap database data entry.
  • Assists with weekly tumor board and team meeting list creation and communication.
  • Works in partnership with neurosurgery program coordinator to ensure patient care needs are met.

Preferred Qualifications

  • Ability to type and use various software packages, set up spreadsheet/report formats.
  • Working knowledge of medical terminology.
  • Effective verbal, written and interpersonal communication skills.
  • Proven decision-making skills and ability to work independently.
  • Working knowledge of general office equipment and computers (specifically Microsoft Office and Microsoft Excel).
  • Experience in data entry, analysis, and formatting in Excel.
  • Experience in patient scheduling and care coordination.
  • Experience working in EPIC medical record system.

Required Qualifications

  • High school diploma or equivalent high school certification.
  • Two years of experience in a healthcare/medical-related office setting.

Grade
G05-H

Salary Range
$15.76 – $22.55 / Hourly

The salary range reflects base salaries paid for positions in a given job grade across the University. Individual rates within the range will be determined by factors including one’s qualifications and performance, equity with others in the department, market rates for positions within the same grade and department budget.
