Job Description Summary
This position is responsible for the development, implementation, coordination and evaluation of Work Integrated Learning Programming for graduate students across over 26 departments and programs in Arts to meet the unique and varied needs of this diverse student body (75% of role) and overseeing the Arts graduate co-op program (excluding MPPGA and iSchool co-op programs) (25% of role). The position leads the development of WIL programming for Arts graduate students, including: developing and managing the budget for the non-co-op graduate WIL Programming, recruiting, training, and managing CUPE 2950 and M&P and student staff, working with chairs of graduate programs in Arts, and other campus partners including G&PS, VP Research, and VP Students. It also designs and implements strategies to market graduate students to employers nationally and internationally, recruits students and provides counseling to students to prepare for work experiences one-on-one and in groups, monitoring student work experiences and addressing any workplace issues that students encounter, providing evaluation and analysis of work experiences and student success each term, collaborating with other co-op professionals at UBC and throughout the province, and the day-to-day administration of the programs.
Organizational Status
This role is a dual report to the Executive Director, Work Integrated Education, Arts, for the Graduate WIL work, and to the Associate Director of the Arts Co-op Program for the graduate co-op program work. The Manager is responsible for contacting industry representatives and liaising with faculty members and students involved in the programming as well as a wide range of campus partners.
Work Performed
Graduate Work Integrated Learning Programming (75%)
1. The position is responsible for the development, implementation, coordination and evaluation of the new graduate WIL programs in the Faculty of Arts to meet the unique and diverse needs of Arts graduate students for work integrated learning programming (under the Arts Amplifier Initiative). Tasks include designing and implementing strategies to market the program to employers nationally and internationally, recruiting students and providing counseling to students to prepare for work experiences one-on-one and in groups, monitoring student work experiences and addressing any workplace issues that students encounter, providing evaluation and analysis of work experiences and student success, collaborating with other co-op and careers professionals at UBC and throughout the province, and oversees the day-to-day administration of the program, including planning and allocating budget and managing staff associated with this work.
2. Sets up the strategic vision for the new graduate WIL program Arts Amplifier and oversees the implementation of the vision. Directs the iterative development of the training, services, supports, and options of the program.
3. Establishes and maintains external partners and collaborative organizations. Participates in webinars, trade shows, career fairs and other employment related events. Researches and identifies job opportunities for student work experiences. Develops new employer contacts, contacts existing employers, conducts office visits, and makes presentations.
4. Works with employers to develop appropriate work experiences consistent with academic guidelines developed in consultation with graduate faculty members and supervisors.
5. Liaises with other career professionals within the university to promote the effective functioning of the program and to ensure that standards are maintained in communicating internally and externally.
6. Develops and implements a marketing plan for the WIL programs under general guidance from the Executive Director. Designs and edits marketing materials.
7. Develops and delivers a program of customized pre-employment and professional development training for graduate students prior to their work experiences, soliciting partnerships with other UBC units, such as e@UBC and G&PS, and with external partners, to develop and deliver training when appropriate.
8. Conducts sessions in career counselling either individually or in groups to prepare students for employment.
9. Responsible for recruiting, coaching, evaluating, disciplining, and terminating M&P and CUPE 2950 staff as well as student staff.
10. Conducts employer visits and feedback sessions to assess overall program delivery, effectiveness, and relevance to employers, and future employer requirements.
11. Deals with workplace safety concerns, employment issues (including harassment and employment equity), intellectual property rights and confidentiality concerns raised by students and/or employers with general guidance from the Executive Director.
12. Develops and manages the budget for graduate WIL programming in Arts with general guidance from the Executive Director.
13. Responsible for developing proposals to secure external funding for WIL programming for Arts graduate students with general support from the Executive Director, Work Integrated Education. Prepares reports for submission to outside funding agencies in conjunction with the Executive Director.
14. Undertakes other duties as required.
Graduate Co-operative Education Programming (25%)
1. The position is responsible for the development, implementation, coordination and evaluation of new graduate co-op programs in the Faculty of Arts and the PhD co-op program (excluding the co-op programs in the iSchool and MPPGA). Tasks include designing and implementing strategies to market the program to employers nationally and internationally, recruiting students and providing counseling to students to prepare for work experiences one-on-one and in groups, monitoring student work experiences and addressing any workplace issues that students encounter, providing evaluation and analysis of work experiences and student success each term, collaborating with other co-op and careers professionals at UBC and throughout the province, and the day-to-day administration of the program.
2. Researches and identifies job opportunities for student work experiences. Contacts employers, conducts office visits, and makes presentations.
3. Establishes and maintains effective relationships with employers and develops new employer contacts. Participates in webinars, trade shows, career fairs and other employment related events.
4. Works with employers to develop appropriate work experiences consistent with academic guidelines developed in consultation with graduate faculty members and supervisors.
5. Coordinates the selection of students for the programs. Liaises with faculty advisors and the Associate Director to apply appropriate selection criteria.
6. Liaises with the iSchool and MPPGA co-op program managers and other career professionals within the university to promote the effective functioning of the program and to ensure that standards are maintained in communicating internally and externally.
7. Develops and implements a marketing plan for the graduate co-op programs under general guidance from the Associate Director. Designs and edits marketing materials with support from the Co-op Marketing and Communications Manager.
8. Assists in providing a program of customized pre-employment training for graduate students prior to their co-op work experiences. Contributes to the development of student training material along with the Associate Director and other UBC Co-op staff. Teaches a series of pre-employment workshops.
9. Conducts sessions in career counselling either individually or in groups to prepare students for employment.
10. Responsible for recruiting, evaluating, disciplining, and terminating staff.
11. Oversees the keeping of records on student work experiences, work term reports, site visits and evaluations. Liaises with the Dean s Office, academic units, Graduate and Post-Doctoral Studies, and the Registrar to ensure that information is accurately reported for the students’ academic records.
12. Conducts employer visits and feedback sessions to assess overall program delivery, effectiveness, and relevance to employers, and future employer requirements.
13. Deals with workplace safety concerns, employment issues (including harassment and employment equity), intellectual property rights and confidentiality concerns raised by students and/or employers with general guidance from the Associate Director.
14. Participates in the development and management of the budget for the Graduate Co-op Program with the Associate Director (excluding MPPGA and iSchool Co-op programs).
15. Performs other related duties as required.
DECISION MAKING:
The position is responsible for strategic planning and operational procedures for graduate WIL programs in Arts, and contributes to developing strategy for the non-professional graduate co-op program in consultation with the Associate Director. Exercises individual judgment in organizing work, dealing with staff who are direct reports, students, faculty and other external agencies.
Consequence of Error/Judgement
Makes independent decisions about graduate WIL programming; makes independent decisions about the graduate co-op program in collaboration with the Associate Director of Arts Co-op. Incorrect decisions would adversely affect the reputation of the Faculty of Arts WIL and Co-op programs, which would prevent them from achieving their targets. The reputation of other UBC co-op programs and of the Faculty and the university generally would also be harmed by poor decisions. Failure to deliver effective and timely service to employers could result in a loss of industry support, which would seriously damage the effectiveness of this work. Failure to equip students for the workplace and to give sound advice could lead to problems during work experiences.
Supervision Received
This role is a dual report to the Executive Director, Work Integrated Education, Arts (for WIL programming) and to the Associate Director, Arts Co-op (on the graduate co-op work). Works under general direction. Work subject to review in relation to program goals.
Supervision Given
Supervises the work of CUPE 2950 Program Assistants and M&P and student staff.
Minimum Qualifications
Undergraduate degree in a relevant discipline. Minimum of three to four years of related experience, or an equivalent combination of education and experience.
Preferred Qualifications
Undergraduate degree in an Arts-related discipline; Master’s degree with Co-operative Education experience preferred.
Several years’ experience working in a business or professional environment.
– Excellent oral and written communications skills, and exceptional organizational skills.
– A passion for Arts education and a demonstrated ability to take initiative and work independently as well as with a team is essential.
– Ability to act with tact, diplomacy, and discretion.
– Experience with career counseling and curriculum development preferred.
– Computer experience with Microsoft Office required.
– Fluency in a second language and experience with international work programs an asset.
– Must have access to private vehicle for local travel.
– Ability to work flexible hours, including evenings and weekends.
