Manager, Faculty Support Services

The Manager, Faculty Support Services provides exceptional, effective, and efficient high level administrative support related to departmental operations, collegial processes, and recruitment and onboarding processes. This position works closely with department heads and oversees the Faculty Support team at Edwards.
This position provides process support for all new faculty and department head appointments; salary reviews; sabbatical leaves and all other leaves; annual reviews, renewal of probation, tenure, and promotion procedures; and various other diverse and complex duties. This position will report to the Associate Dean of Research, Graduate Programs and Faculty Relations.
Nature of Work:
The position involves a high level of energy and creativity, analytical thinking, confidentiality, tact and sensitivity, and excellent communication skills to effectively deliver on goals and advance the vision and mission of the Edwards School of Business. Considerable discretion is required as the position is privy to and works with sensitive, highly confidential information. The work requires an ability to balance competing deadlines and multiple tasks. The incumbent is expected to build professional working relationships within the office and across campus.
This position works both independently and as a team member, exercises discretionary decision-making and establishes effective working relationships with a variety of stakeholders. Establishing and maintaining the level of professional relationships that support exceptional collaboration and problem solving is essential for success in this position.

Typical Duties/Accountabilities:
Faculty Support
- Coordination and implementation of all faculty search processes including request to hire forms, position postings, advertising, compiling and organizing applications, and appointment forms.
- Coordination and implementation of all sessional lecturer hires including position postings, advertising, and compiling and organizing applications.
- Coordination and implementation of onboarding and orientation support for all new faculty, department heads, and sessional lecturers.
- Assists with the implementation of the administrative components of collegial processes for the departments including, but not limited to, assignment of duties, salary review, promotion, tenure, and renewal, and sabbatical and other leaves, ensuring that the appropriate timelines and processes are adhered to as articulated in Edwards policies and the Faculty Association’s Collective Agreement.
- Provides key advice to internal stakeholders (including senior leadership, department heads, and support staff) on collegial processes and faculty collective agreement requirements.
- Provides oversight of faculty employment records and produces reports as required to meet the needs of senior leadership, department heads, faculty relations, communications, and accreditation.
- Coordination and implementation of offboarding processes for all faculty and sessional lecturers.
Administration
- Provides oversight, mentorship and direction to their assigned administrative team and ensures those staff have a sound understanding of the college and leadership team’s priorities.
- Ensures effective coordination of administrative activities with other units on matters pertaining to the college and leadership team.
- Provides administrative support to assigned college governance committees, including timely and comprehensive creation of agendas & minutes; continuity and organization of materials; and collaborating on sustainable structures and processes related to college business.
- Positively influences the direction of the Edwards School through active support of the Executive Committee.
- Provides leadership, consultation, and advice on administrative plans, policies, and procedures.
- Advises and consults with department heads and other leaders in the identification and development of appropriate administrative solutions to operational issues.
- Provides senior level administrative support to the Associate Deans and support for the Dean as required.
- Facilitates the resolution of complex issues, emerging opportunities, and unpredictable events using a solid foundation of knowledge and an aptitude for intuitive and constructive problem solving.
- Supports the coordination, allocation, and tracking of assigned office spaces and identifies upcoming space challenges or conflicts.
Human Resources
- Supports the hiring of all faculty and sessional lecturer positions and may also provide support for the recruitment of staff positions, ensuring a positive, diverse, and inclusive work environment.
- Ensures the timely and accurate completion of all HR related transactions through Electronic Job Submissions and e-forms for new hires, separations, and other job data changes.
- Support for other HR administrative functions as required.
Qualifications
Education
- An undergraduate degree in a relevant discipline is preferred, however an equivalent combination of education and experience will be considered.
Experience
- A minimum of 5 years of relevant experience including supporting senior leaders is required.
- The demonstrated ability to support senior administrators and to work effectively and discreetly with confidential and sensitive information is essential.
- Demonstrated management experience with a proven record of achievement related to effective leadership of people; outstanding interpersonal relationship building and employee coaching skills.
- Experience working in and positively affecting a diverse and inclusive environment.
- Knowledge of, or an interest in, post-secondary processes, policies, procedures, and functions.
Skills

- Proficiency with MS Office suite and SharePoint/Teams.

Salary: The salary range, based on 1.0 FTE, is $64,107.00 – 100,169.00 per annum. The starting salary will be commensurate with education and experience.
