Position Overview

The Department of Clinical Services in the Cumming School of Medicine invites applications for a Manager, Clinical Trial System Services.  This Full-time Fixed Term position is for approximately 12 months (based on length of grant funding), with the possibility of extension.

This position reports to the Director, Clinical, Health Services and Population Health Research, Cumming School of Medicine (CSM). This is a key leadership position in the Calgary Centre for Clinical Research (CCCR) overseeing the Provincial OnCore Support Team (POST), which provides various services related to the OnCore Clinical Trial Management System (CTMS) application.

Position Description

Summary of Key Responsibilities (job functions include but are not limited to):

Leadership and Administration

  • Responsible for the recruitment, onboarding, evaluation, and supervision of POST staff members (full managerial discretion up to and including discipline and termination for direct reports)

  • Responsible for setting customer service standards and ensuring that these are demonstrated by all direct reports

  • Ensures that staff are fully utilized during their working hours

  • Provides a positive leadership model to staff, is a willing coach and mentor, shares knowledge and expertise freely, and creates a safe and productive work environment

  • Acts as backup to the Senior Consultant (Clinical Research Systems) in their absence

  • Contributes to annual budget and resource planning for the CCCR

  • Participates in the planning, implementation, and management of new strategic initiatives related to the growth of the clinical research program at the University

  • Produces regular reports and response to specific reporting requests

System Application Oversight, Processes and Training

  • Responsible for overseeing system support and service delivery related to the OnCore Clinical Trial Management System

  • Responsible for developing and documenting OnCore related processes that meet the needs of University of Calgary researchers and align with the business processes of University of Calgary operations

  • Recommends system related improvements to clinical trial processes and practices collaborating with system end users, key stakeholders and organizational leadership as needed and ensuring alignment with University goals

  • Oversees system troubleshooting and reporting, always ensuring regulatory compliance

  • Participates in the evaluation of system upgrades and provides feedback to the Senior Consultant (Clinical Research Systems) on the new functionality

  • Participates in evaluating how system upgrades may affect current policies and procedures

  • Plans and executes outreach activities to promote the adoption and usage of the CTMS amongst University researchers through 1:1 meetings, team presentations, workshops, announcements, and updates utilizing proven change management tools

  • Implements metrics to track system adoption and usage, POST performance and clinical trial activity and reports metrics to organizational leadership

Qualifications / Requirements:

  • Minimum of a M.Sc. in Health Sciences, or RN with significant research experience
  • 5+ years of management experience including recruiting, onboarding, performance management, mentoring and coaching (management experience in an academic environment would be an asset)
  • 5+ years of experience in a clinical trial related role
  • Knowledge of clinical research practice guidelines (i.e., Health Canada, FDA, ICH, GCP) is essential. Good Clinical Practice Certification would be an asset
  • Experience in implementing process improvements and providing change management support (Project and Change Management certifications would be an asset)
  • Experience in documenting user processes for highly complex technological systems
  • Experience in application administration and software implementation
  • Knowledge of online databases is essential. Familiarity with the following Alberta databases would be an asset: OnCore Clinical Trial Management System, EPIC Electronic Health Record System, IRISS Ethics and Contract System, PeopleSoft System, Research Management System
  • Intermediate to advanced skills in Microsoft Office Suite (Word, Outlook, Excel, PowerPoint)
  • Ability to use creative and effective presentation skills to teach groups of adults
