Learning Program Specialist

Job Description:

The Learning Program Specialist position is uniquely designed for someone who wishes to be a part of all aspects of talent development. In this position, the incumbent assists with the design, development and or enhancement of a variety of instructor-led and eLearning courses, materials and job aids.  This role also assists with executing the overall training communication plan including drafting and editing course descriptions, advertisements, and creating marketing and content materials along with maintaining the Talent Development website. 

The incumbent serves as a key administrator of the learning management system (LMS), helping to conduct biannual system updates, testing new functionality, reporting features and training end users and learning providers.  The position also gathers and analyzes data that are clear and actionable as part of the department’s annual learning report along with other ad hoc reporting. 

The Learning Program Specialist inputs digital and blended offerings in the LMS and answers end user inquiries via an electronic ticketing system, bringing issues to resolution or elevating them as necessary. The position also drafts and maintains the overall program schedule of offerings, curates vendor eLearning and assists in leading LMS and other related projects.
 

Major Responsibilities:

Design and development of learning programs and materials

• Assists in the design, development and implementation of learning and employee programs, eLearning, job aids and other learning objects
• Builds and maintains positive relationships with team/subject matter (SMEs)/customers/end users/vendors
• Assists in obtaining necessary video, audio, print content, curricular objects and copyright permissions
• Develops and maintains supporting documentation as needed. This includes validating vendor or colleague generated materials
• Drives and adheres to excellent quality standards throughout course development and enhancement process; assists with quality assurance review prior to course launch

Data analysis, reporting, metrics, scheduling

• Works with teammates and system report developers to identify and create functional reports and dashboards to inform the work of Talent Development
• Regularly audits learning-related data to ensure data integrity is maintained
• Performs extensive ad hoc and annual learning data analysis for Talent Development metrics report
• Provides and analyzes other learning-related data as needed for compliance and other purposes
• Works with Talent Development team to develop, record, and update workflows for major processes
• Drafts and maintains overall program offering schedule for Talent Development for each term

Manage learning management system

• Develops expertise on all aspects of learning management system (LMS) functionality under the direction of the Assistant Director of Talent Development Programs
• Serves as co-tester for biannual systems updates and other testing periods
• Supports subject matter experts (SMEs) with the implementation of learning offerings in the LMS
• Monitors and responds to end user LMS-related inquiries in a timely manner
• Oversees the implementation and maintenance of all Talent Development offerings in the LMS
• Assists with the curation and recommendation of learning paths
• Introduces and trains end-users, learning coordinators, and others on LMS functionality

Program and Course Communications

• Drafts and edits course descriptions and assists with submitting marketing content
• Creates, monitors and provides pre- and post- communications to learners
• Provides input on the overall communications plan in support of the Assistant Director of Talent Development Programs
• Assists with the maintenance of the Talent Development website
• Provides input on web page design

Serves as administrator, producer and/or co-facilitator

• Produces and/or co-facilitates instructor-led trainings, virtually and onsite
• Sets up and breaks down onsite classrooms for training sessions
• Inventories and orders needed training materials
• Supports the implementation of major employee events including menu planning, complex logistical arrangements, media service needs, room signage, and service award letters, certificates, and awards
• Corresponds with staff, faculty, and external consultants on matters related to learning and employee programs

Education and Experience

• Bachelor’s degree or equivalent combination of education and experience plus 3 to 5 years of related experience in providing technical support
• Experience with various instructional technology applications such as Articulate 360, Adobe Captivate, Adobe Presenter, Zoom, Qualtrics, Jamboard, Mural, etc. Experience with Vizio preferred.
• Additional technical skills required, including: learning management systems and desktop software
• Proficient with all application of Microsoft Suite, including advanced proficiency in Excel required for vLookups, pivot tables, and charts and PowerPoint for animation and advanced visual appeal
• Ability to gather and analyze data and present findings that are clear and actionable
• Familiarity with Google Suite
• Comfortable learning new technology
• Experience producing and co-facilitating in person and virtual setting
• Organizational skills and attention to detail
• Ability to successfully manage multiple tasks and projects at once
• Strong writing, oral, and instructional communications skills
• Ability to develop positive and productive relationships
• Ability to work both independently and as part of a team
• Demonstrated ability to support a community of diverse perspectives and cultures in an inclusive environment
