Job Summary

This is a staff position for the Department of Medicine. The incumbent will provide high-level executive, administrative, research and grant management support to the UCSF Vice Chair and the Administrative Manager of the Department of Medicine Key responsibilities include: The executive assistant to the Vice Chair provides direct high-level analytic support to the department chief; is the “face” of the chief of medicine and department to a local and national constituency; manages the vice chair’s complex and demanding schedule; and strategizes around and promotes the vice chair’s initiatives. This position requires a high level of independent decision making over matters of a critical and confidential nature, including interactions with the Dean’s Offices (Fresno and SF), Community Regional Medical Center (CRMC) leadership, and Chairs. The executive assistant to the vice chair must be able to triage and prioritize in a fast-paced environment, work independently with minimal supervision, remain current in technological applications, be exceedingly well-organized and flexible, and enjoy supporting a large and diverse department. Crucial to this role is the ability to interact with a wide range of audiences with diplomacy, confidentiality, and professionalism. This position requires the ability to remain proactive, flexible, resourceful and efficient. Superior written and verbal communications skills, strong decision making ability, experienced and nuanced understanding of university guidelines and processes, attention to detail, and responsiveness with high productivity are also important. The candidate will also perform other related duties as assigned. The incumbent will need to thoroughly understand the policies of the institutions (UCSF, UCOP, CRMC, Central California Faculty Medical Group (CCFMG), and other foundations, organizations, and institutions) to resolve issues. In addition to assisting the Vice Chair and the Department Administrator, the incumbent will also provide general executive administrative and analytical assistance to the Residency Program Director (s) and other faculty members as required; and perform other duties as assigned.

Department Description

UCSF Fresno is a major educational, research and clinical branch of UCSF that is located in the Central San Joaquin Valley and is administered by the Office of the Associated Dean in Fresno. The Department of Medicine is the largest department on the UCSF Fresno campus and the UCSF School of Medicine. The UCSF Fresno Department of Medicine provides services and training at the affiliated location: Community Regional Medical Centers: Veterans Administration Central California Health Care System (VACCHCS). The Department’s mission is to promote the health of Central California by providing innovative and excellent patient care, train the next generation of physicians and advance patient-centered research. Required Qualifications

  • High school graduation and four years of related administrative experience; or an equivalent combination of education and experience
  • Thorough knowledge in administrative procedures and processes including word processing, spread sheet and database applications.
  •  Requires good verbal and written communication skills, active listening, critical thinking, multi-task and time management skills.

Preferred Qualifications

  • Requires interpersonal and work leadership skills to provide guidance to other nonexempt personnel.
