Job Summary

The Interstitial Lung Disease (ILD) Program oversees clinical care and human subjects-based research operations, functioning within the Division of Pulmonary, Critical Care, Allergy and Sleep Medicine in the Department of Medicine.  Under the general supervision of the Clinical Research Supervisor, the Research and Program Representative will administratively support all aspects of clinical trial execution and program administration.

Under direct supervision, research representative responsibilities will include the following:  Represent the research program in ILD clinics (train how to consent patients for the ILD Database study and collect biological samples and other data), learn and train how to “Pre-screen”  patients to gather medical information and determine eligibility, which includes speaking to patients in-person or via telephone to determine availability; train on how to schedule research visits ,schedule protocol-mandated tests with ancillary departments (e.g.,CT scans ); Assist in preparation of study binders/charts for patients who are new participants (e.g., creating “master” case report forms, printing source documents);  observe and receive training on how to collect and prepare biological samples and/or kits for patient visits and the biorepository; learn to process and store /shipping biological samples during and after patient visits (specimens are accurately processed and labeled and stored/shipped in accordance with Federal and individual study standards); Learn and train how to enter research data onto Case Report Forms (CRF’s) or into computer-based systems (eCRF’s) in a timely fashion; Assist PI and CRCs in submitting applications for new studies to the Institutional Review Board (IRB) and Central IRBs, as well as renew and modify existing studies; Learn to process reimbursement requests for patients who incur costs during study participations (e.g., mileage, parking, bridge tolls); and ensure that all necessary supplies for management of clinical trials is on hand and within acceptable date ranges.

Program Assistant responsibilities will include the following: Assist and support the interstitial lung disease nurse with the weekly ILD Clinic and ILD Conference operations; the ILD Support group; Advertise and outreach (e.g., ILD Newsletter production and distribution); ILD patient appreciation luncheon, maintenance of referring physician and patient contact databases); Maintain ILD Clinic supplies (e.g., folders, handouts); and provide general administrative support as needed.

Note: This position requires a physical/health screening.

Department Description

The Pulmonary, Critical Care, Allergy and Sleep Medicine Program includes the UCSF Pulmonary, Critical Care, Allergy and Sleep Medicine division (based at the Parnassus and Mt. Zion sites), the Pulmonary and Critical Care divisions of the San Francisco General Hospital and Trauma Center and the San Francisco VA Medical Center, and at UCSF’s Mission Bay campus. Each emphasizes different aspects of care for patients with lung disease and lung disease research. The Pulmonary, Critical Care, Allergy and Sleep Medicine Division in the Department of Medicine have a long history of providing outstanding clinical care, performing innovative research and training academic scientists and physicians. We currently have active, well-funded clinical, translational and basic research programs in lung development, international lung health, pulmonary immunology, genetics of pulmonary and allergic diseases, lung transplantation, microbial pathogenesis, airway diseases, acute lung injury, pulmonary fibrosis, pulmonary malignancies and pulmonary health disparities. Our large, NIH training grant has been continuously funded since 1966. Nearly a quarter of all academic pulmonologists in the United States have trained at UCSF. This combined unit includes: 7 outpatient clinics, 4 inpatient services, a pulmonary function diagnostic center, 15 independent wet labs, 4 independent research service cores, 6 independent clinical research units, one specialty destination program, and the Nina Ireland Program in Lung Health focusing on philanthropic activities.

Required Qualifications

  • High school graduation and sufficient experience and demonstrated skills to successfully perform the assigned duties and responsibilities; and or equivalent experience/training.
  • Computer skills including Microsoft Word, Excel, Adobe Acrobat, email, and web-based applications.
  • Ability to coordinate multiple tasks and re-prioritize responsibilities as necessary.
  • Ability to communicate effectively both verbally and in writing with patients, department administrators, staff at all levels, and non-university personnel
  • Possess excellent interpersonal skills with the ability to collaborate and cooperate with the research team.
  • Ability to demonstrate proficiency in technical procedures.

Preferred Qualifications

  • BA/BS with a major in a related field and at least one to four years experience in administrative or management position with responsibility for task completion or an equivalent combination of education and experience.
  • Phlebotomy Certification/License
  • Demonstrated experience working with patients in a healthcare setting
  • Demonstrated experience working in clinical trials
