Job Description:

Administrative Duties

Greets visitors, answers and directs incoming phone calls and messages. Distributes mail and receives package deliveries. Makes internal mail run from 1329 building to various offices (Pathology mail room located in Shands hospital, Chairman’s office, etc.).  Responsible for ordering the office supplies for Administration office

General administrative support for Pathology’s Director & Assistant Director of Health Care.  This includes, but is not limited to, preparing correspondence, memorandums & documents, maintaining calendars (scheduling meetings & conferences), managing administrative files (contracts, reports, folders), and organizing & scheduling travel.

Human Resources Duties

This position will process  personnel paperwork for Volunteer assignments.  This position will be responsible for managing the electronic personnel  file conversion and maintaining it.  This position will work with the HR lead with payroll processes which include reviewing  bi-weekly payroll paylist and processes corrections and adjustments as necessary through Time & Labor.   Coordinate communication with candidates and schedule interviews.  Track required training for the department and work with supervisor to make sure all staff is up to date.  Will work with the HR team lead on other duties that are needed to be done.

Other Duties as Needed

Assist the fiscal management team by processing & reconciling PCard transactions, processing MyUF Marketplace purchase orders, reconciling and approving invoices, preparing auxiliary & FCPA invoices and deposits, and filing as needed

Expected Salary:

$17.00 – $20.00 per hour

Minimum Requirements:

High school diploma or equivalent and three years of relevant experience.

Preferred Qualifications:

Excellent oral, written and visual communication skills to include professionalism in appearance and demeanor. Must understand and practice excellent customer service and provide timely follow-up.

Previous Human Resource experience would be preferred

Excellent interpersonal skills, ability to work well with faculty, staff, and students.

Must be self-motivated, capable of working independently, as well as managing and prioritizing multiple projects, tasks, and be able to meet deadlines.

Must be able to work well in a team environment. Take ownership of the resolution of problems, be flexible and accountable, and manage conflicting responsibilities.

Must possess critical thinking skills with attention to detail.
