Job Summary
The HR Liaison will play a central and critical role in the Department of Biochemistry & Biophysics. This individual will participate in all aspects of human resources activity in conjunction with the HR Shared Services teams. This position will also serve in an advisory and leadership role within the department in support of lab and staff personnel with regards to HR processes and transactions.
The HR Liaison will work directly with the labs to gather necessary documentation to hire and renew all Non-Faculty Academic (NFA) positions. This includes submission and tracking of all cases in People Connect and working directly with the finance team to ensure appropriate funding sources and the availability of funds. Initial funding entries in UCPath will also be processed by the HR Liaison. There are ~80 NFA positions in the Department.
This position will work directly with the labs and CAO to gather necessary documentation to hire all staff positions in the Department. This will include being the main point of contact for administrative hires in the Department, developing and implementing internal onboarding procedures for staff, and conducting recruitment interviews for administrative staff positions. There are ~55 staff positions in the Department.
The HR Liaison will coordinate all liaison activities for the Department with the CAO, a Postdoc Human Resources Coordinator, and the Executive Assistant to the Chair to ensure all HR operations are functioning well at the Department level. The individual will serve as a backup for HR liaison activities related to faculty and postdoc trainees.
This position will require 2-3 days per week on-site at the Mission Bay Campus with the ability to work remotely the remaining 2-3 days.
Department Description
The Department of Biochemistry & Biophysics is a large teaching and research department within the School of Medicine. The department offers graduate studies in Biochemistry and Molecular Biology, Cell Biology,
Developmental Biology, Systems Biology, and Genetics degree programs, in addition to providing courses for medical, dental, and pharmacy students. Each program includes interdepartmental faculty representing: the Cancer
Center, Medicine, Pharmacy, Physiology, Pediatrics, Microbiology, Pathology, Anatomy, Psychiatry and Neurology departments, as well as our own. In addition to offering course work, the department’s other main goal is to provide an environment where outstanding research in diverse areas of interest is conducted. A close, collaborative spirit among the faculty facilitates a research atmosphere that is both productive and exciting. Moreover, many colleagues from other departments have joint appointments with Biochemistry, which forms an added active pool of investigators with whom we closely collaborate.
Required Qualifications
- Bachelor’s degree in related area and / or equivalent experience / training
- Interpersonal skills including verbal and written communication, active listening, critical thinking, persuasiveness, advising and counseling skills
- Ability to use discretion and maintain confidentiality
- Strong skills in short-term planning, analysis, problem-solving, and customer service
Preferred Qualifications
- Thorough knowledge of University rules and regulations, processes, protocols and procedures for budget, accounting and fund management, and / or personnel management
- Knowledge of a variety of administrative operational activities such as event planning, basic fundraising processes, risk management planning, website design, accounting and payroll, and contracts and grants regulations and guidelines
- Solid knowledge of common University-specific computer application programs
- Thorough knowledge of financial analysis and reporting techniques, and / or human resources policies and procedures for staff and academic employees
