HR Associate (Remuneration and Policy) – INTERNAL ONLY

Reporting to the HR – Promotion and Policy Manager the post-holder is required to support the University’s Academic Promotions; Professors of Practice; and Academic Education Pathway transfer applications and processes. This will involve   

processing a high volume of applications, obtaining internal and external reports, managing stakeholder relationships, database entry and maintenance, running reports, and updating HR record systems. 

They will be responsible for administration of the Long Service Awards, Business Continuity Planning and compliance with health and safety, including ensuring that the wider HR team have completed and are up to date with health and safety training, and supporting the business continuity activity. 

This role will involve liaising with people of all levels in the University including the Principal’s office and other members of the Senior Management Team. Arranging and attending meetings, taking minutes, and providing administrative support as required. 

They will work as a member of the Remuneration and Policy team so will participate and support initiatives as part of the wider group. 

This post will be offered on a full-time, indefinite contract.

  • Initiating the annual academic promotions and AEP rounds, managing the out of rounds processes and Professors of Practice application processing, preparing and maintaining associated spreadsheets. Running reports as required.  
  • Processing (including checking) the high volume of applications for promotion, Professor of Practice and transfer to AEP. Responding to queries from applicants, Executive Deans, Heads of Department, External Assessors and Medical Directors of King’s Health Partnership NHS Trusts. 
  • Managing stakeholder relationships and liaising with departments and faculties across the University to ensure that all required information is received and is accurate. 
  • Preparing the anonymised personal circumstances declaration documentation relating to applications for promotions and arranging the appropriate panel. 
  • Preparing results spreadsheets, lists and feedback documentation. 
  • Preparing notification letters to candidates on the outcome of their applications and new contracts of employment. 
  • Assisting in developing promotions and AEP documentation, webpages, adhering to the established version control and archiving protocols. 
  • Assisting in the development of a web-based application system for academic promotion and transfer to the AEP.  
  • With the support of colleagues as appropriate, design, build and maintain databases and administrative systems to support the activities of the Remuneration and Policy team, as required. 
  • Support the broad work of the team by liaising with the Principal’s office and those of other members of the Senior Management Team. Assisting with administrative duties and ad hoc projects; arrange and attend meetings; taking minutes as required.

Essential criteria  

1.       Excellent attention to detail and high level of accuracy. 

2.       Knowledge of HR issues 

3.       Excellent written and verbal communication skills with the ability to compose correspondence and documents of a sensitive and complex nature. 

4.       Excellent administrative organisational skills. 

5.       Effective time management and workload prioritisation skills and the ability to work to tight timescales, managing a range of concurrent complex issues and often conflicting priorities.  

6.       Effective influencing and communication skills, including the ability to compose correspondence and document of a sensitive/complex nature clearly. 

7.       Excellent Excel skills and the ability to analyse quantitative and qualitative information, produce reports accurately and to a high standard. 

8.       Ability to act with a degree of independent professional responsibility and discretion. 

9.       Ability to be a team worker, be pragmatic and think creatively in identifying solutions. 

Desirable criteria 

1.       Proficient in the use of PeopleXD and Sharepoint. 

2.       Experience of working on projects.
