CUIMC HR is looking for professionals who are hardworking, dedicated, passionate and eager to learn. The HR Assistant supports all on-boarding activities across CUIMC. This is a temporary (one-year) position with the opportunity to become permanent.

Reporting to the Assistant Director of Operations, the HR Assistant provides administrative support to CUIMC HR focusing on the on-boarding of new hires / rehires and manages the end-to-end employment clearance process.

Responsibilities

Responsibilities include but are not limited to:

  • Supporting a dynamic and fast-paced HR team in the on-boarding process
  • Managing the end-to-end processing of new hire and rehire documentation and clearances
  • Initiating and processing all background checks to completion. Work and communicate with finalists and department HR representatives to prevent any processing delays.
  • Reviews background screening reports to ensure University standards are met.
  • Reviews CUIMC job postings for quality assurance. Ensures job descriptions and requisitions meet University requirements.
  • Facilitates the completion of on-boarding tasks and compliance protocol for new hires and existing staff. Responsibilities include but are not limited to:
    • Assisting new hires, rehires and existing staff in completing the University I-9 process.
    • Assisting departments in the scheduling of medical surveillance appointments for new and existing staff.
    • Assisting departments in the scheduling of New Hire Welcome Program.
    • Reviewing and processing sensitive and confidential personnel transactions in a timely manner.
    • Maintaining office files and record all personnel transactions in the department’s document management system.
  • Disseminates employment clearance notifications and other correspondence as required.
  • Liaison for applicants using the on-line applicant tracking system (ATS) which includes:
    • Assisting users in completing and submitting job applications in the ATS
    • Troubleshooting basic user issues such as password resets and uploading of application documents.

Minimum Qualifications

  • High School Diploma or GED
  • Requires at least two years of work experience preferably in a health care, academic medical center or corporate environment, with experience and exposure to the following functional areas: HR Operations, HR Systems or Compliance.

Preferred Qualifications

  • Possess a positive, customer service “can do” attitude.
  • Well-organized, with excellent presentation, interpersonal skills and communications skills, both written and oral exceptional customer services skills.
  • Ability to foster relationships with our client groups and ability to collaborate with HR Team.
  • Ability to work independently and take initiative.
  • Ability to work in a fast-paced environment, set priorities, problem solve, multi-task and maintain confidentiality of highly sensitive information.
  • Proficiency in MS Office (Word, Excel, Powerpoint, Outlook, Access) and web maintenance is highly preferred.
