Job Summary

Please note: this opportunity will be a combination of remote work and on-site work at our Parnassus campus.

Program Support

  • Coordinates implementation of professional health educational activities, which may include program coursework, curriculum, exams, grant activities, and events.
  • Maintains program files and data, which may include individual learner files as well as program accreditation documentation in accordance with relevant regulatory and University policies.
  • Serves as point of contact for FHCN faculty within the clinical specialties, and other programmatic needs for faculty, staff, and students of the programs and the Department.  Answers questions, disseminates program information.  Will triage questions and will discuss with manager if any questions arise.
  • Serves as point person for learners, which may include prospective health professions education program candidates; current health professions education learners; and all other stakeholders. Answers questions and disseminates program information.
  • Supports Master’s Comprehensive Exams process
    • Coordinates the Master’s Comprehensive Exam by tracking the submission of the exam, compiling the data and serving as the liaison between students and faculty when questions arise. 
  • Participates with the faculty members in developing  and coordinating policy and work processes communications
  • Collaborates among various health professions education specialties and programs  to support ongoing health professions education program functions.
  • Assists with  logistics and coordination of program social events and / or educational activities, which may include specialty meeting & minutes; recruitment; interviews; orientation; graduation; conferences; simulation and / or other assessment activities
  • Maintains program communication resources, which may include maintaining the program website to ensure updated information and program requirements; generating informational materials; creating and updating program or course syllabi; assisting with journal submissions; manages program marketing and collateral production; and maintains email and contact materials for students, alumni, and faculty.
  • Maintains the department / program learning management systems (i.e. Collaborative Learning Environment-CLE). Support student and faculty use as needed.
  • May assist in projecting costs, monitoring budgets, and tracking learner reimbursements for health professions education programs and related activities. Assists program management with financial tasks related to the program, including reimbursement and receipts. 
  • Responds to inquiries from learners and faculty regarding educational technology and systems. Support communication tools (i.e. Zoom, Content Capture). Troubleshoots and triages issues. Assists in monitoring and reviewing the user experience for learners and faculty.
  • Assists with a variety of projects to provide solutions to improve educational or administrative operations. May include training grants support and working with others to achieve project objectives.

Clinal Placement Support

  • Supports clinical coordination among staff, faculty, students, clinical sites, and school level offices.
  • Assists in specialty program management with operational components such as clinical onboarding; appointment paperwork; credentialing.
  • Assists health professions education learners with all program-related issues and questions. At the direction of program faculty and leadership, assist in creating  learner assessment documentation, including assessment tools and assessment strategies / timelines.
  • Generates regular reports of individual and aggregate learner progress and assessment.

Other

  • Departmental administrative duties as assigned (includes but not limited to IT support, classroom scheduling, A/V equipment tracking, cross coverage).

Grant Activity Support

  • Supports specialty health professions educational program grant related activities, which may include grant application, IRB submission, grant activity scheduling, implementation, and management, grant budget tracking, and grant reporting. May also include data analysis and collection as appropriate.

Department Description

UCSF’s Temporary Employment Program (TEP) recruits and hires temporary employees for immediate clerical and technical support services to UCSF Departments and various off-campus locations. UCSF departments deploy temporary employees to work on special projects, fill in for regular employees who are on vacation or leave, or to temporarily fill a vacant position during recruitment. Frequently temporary employees become successful candidates for career and limited appointment positions.

Required Qualifications

  • Basic knowledge of administrative analysis and operations research. Acquiring skills in developing and implementing processes and systems. Familiarity with the administrative and operational implications in a program.
  • Communication skills; includes verbal, written and active listening. Service oriented and responsive to questions and requests. Ability to interact in a professional, resourceful, and courteous manner.
  • Demonstrated interpersonal skills. Demonstrated ability to develop working relationships within department and with learners.
  • Excellent organizational skills, analytical, and demonstrated attention to detail. Ability to work with extremely complex faculty calendars / schedules requires extremely well organized and detail oriented precision.
  • Bachelor’s degree in related area and a minimum of 1 years of related experience and / or equivalent experience / training

Preferred Qualifications

  • Basic knowledge of relevant policies and regulatory requirements. Basic knowledge of health professions education industry.
  • Knowledge of educational technology and systems. Ability to troubleshoot and triage related technology issues.
  • Investigative, data analysis, and reporting skills. Ability to generate computer reports, checking for errors, correcting and submitting accurate reports. Skills include entering, maintaining, extracting, and analyzing data in electronic systems.
