What We Want

The Graduate and Professional School is seeking a Graduate Records Processor IV, to provide specialized skills for processing graduate student documents and guiding graduate students, faculty, and staff on various aspects of the graduate educational experience. This position will provide detailed information to stakeholders with information regarding University resources that can assist in meeting their needs and solving their problems. This position will also serve as a leader on the processing team providing staff and student employees with guidance and processing complex documentation. We are looking for an individual who actively promotes teamwork in the workplace and respect in all interactions with internal and external clientele. The ideal candidate has a strong desire to assist graduate and professional students, faculty, and administrators from a wide range of fields across the University. Knowledge of Compass, Howdy, and DPSS is a plus. Required Education and Experience:

  • Bachelor’s degree in applicable field or equivalent combination of education and experience.
  • Two years of related experience in office administration or project management.

Required Knowledge, Skills, and Abilities:

  • Excellent verbal and written communication and interpersonal skills.
  • Ability to multi-task and work cooperatively with others.
  • Ability to interact effectively with various constituencies and to work collaboratively with students, faculty, and staff work teams, other units of the campus, and outside organizations.

Preferred Experience:

  • Higher education experience in advising, degree progression, and/or course approvals.
  • Texas A&M University experience with working knowledge of Compass, CARS, and Howdy.
  • More than two years of experience working with graduate students in an advising capacity or related role.
  • Demonstrated leadership experience and experience working with faculty in higher education.

Preferred Knowledge, Skills, and Abilities:

  • Knowledge of TAMUS Policies and Regulations and Texas A&M University Rules.
  • Must possess a strong work ethic and be able to balance conflicting priorities and make decisions based on approaching deadlines.
  • Knowledge of public relations and marketing techniques, including social media.
  • Strong desire to work with graduate and professional students, faculty, and administrators from a wide range of fields across the University.
  • Knowledge of graduate student advising practices and procedure with advanced proficiency in Compass, CARS, and Howdy.

Responsibilities

  • Processing – Coordinates document processing relating to graduate students’ progress toward their degree, including MDD petitions, requests for final exam or exemptions, petitions for waivers or exceptions, special request letters, letters of completion, letters of intent, and graduation cancellation forms. Manages curriculum for secondary programs, including 3+2 undergraduate-graduate hybrid programs. Serves as contact for processing prelims and admission to candidacy.
  • Customer Support – Advises faculty, staff and graduate students on university-established policies and procedures for graduate students. Responds to graduate community inquiries, works to develop a graduate advising network. Serves as singular point of contact for MARB IDP program and TAMUQ graduate records office. Presents procedures and policy information for student orientation and graduate advisor workshops.
  • Graduation / Commencement – Attends commencement ceremonies and supports commencement day activities. Serves as the primary person for working multiple reports related to commencement, including the split course report (primary), degree candidate discrepancy report (primary), no-grade / incomplete grade reports, variance report, and the time limits report. Assists in facilitating doctoral hooding ceremony.
  • Training – Supports internal staff development by training new processing staff on level 1 documents. Collaborates with office employees to support external staff development by assisting with processing-related training and graduate advisor development sessions focused on utilizing tools including Compass, Howdy, and DPSS. Mentors records processing team members; serves as team lead in absence of Graduate Records Coordinator. Performs other duties as assigned
