Job Description
The School of Geographical Sciences and Urban Planning is seeking an individual who, under general supervision, works with the graduate programs team to coordinate activities and functions of the School’s campus-based and online graduate programs and provides support to program directors. Assists with the implementation of the goals and objectives of the programs in accordance with established priorities, time limitations and quality customer service by using comprehensive knowledge of the curriculum and activities of the graduate programs to support students and faculty.

Essential Duties
- Facilitate admission process for applicants including materials to be reviewed by faculty.
- Work with HR specialist to update and distribute graduate admission letters.
- Coordinate activities for incoming graduate student search fall term including: orientation, assisting students with required tasks/paperwork such as HR packets, SPEAK Test (for international students) etc.
- Communicate with and market to prospective graduate students.
- Work with SGSUP and college marketing and communications staff to develop and implement student recruitment plans.
- Facilitate and participate in graduate programs events (e.g., information sessions, new student orientations, recruitment events).
- Advise prospective and current students regarding academic policies, procedures, and programs.
- Review and approve graduate Plan of Study submissions.
- Coordinate and manage graduate milestone reviews/defenses.
- Monitor student progress and alert appropriate supervisors to issues that require attention.
- Work with leadership and Graduate College to manage graduate student issues (e.g., Attend monthly meetings and assist students/provide resources as needed).
- Maintain timely communication with graduate students and faculty.
- Support the graduate scholarship application process.
- Process and monitor travel enrichment grants.
- Assist with the graduate TA/RAships applications and assignments as needed.
- Update and distribute graduate offer letters.
- Prepare spreadsheets, enter tuition remission awards in PeopleSoft, and monitor expenditures.
Other Duties:
- Monitor and respond effectively in SalesForce for graduate student and recruiting inquiries.
- Work with web content administrator to update graduate program content on website.
- Identify, develop, and maintain working relationships with University and College units, including Graduate College, as appropriate to work assignment.
- Perform other duties as assigned to ensure the continuity of department operations and to meet department needs, which can shift over time due to a variety of variables.
Minimum Qualifications
Bachelor’s degree in a field appropriate to the area of assignment and three years of related experience; OR, any equivalent combination of education and/or experience from which comparable knowledge, skills and abilities have been achieved.
Desired Qualifications
- Evidence of a Masters degree in relevant field of study
- Evidence of student academic advisory experience, graduate advising preferred.
- Experience with ASU academic structure and organization, academic programs, colleges and academic departments University–wide. Experience working in high-volume, fast-paced customer service higher education environment. Demonstrated ability to coordinate student programs and initiatives with the goals of admissions, and retention.
- Experience in establishing and maintaining effective working relationships with peers, faculty, students, and administration.
- Experience with demonstrating sensitivity to the needs of a diverse student population and can determine when a referral to other University resources is appropriate.
- Ability to rapidly adapt and effectively utilize new technology, practices, policies and methods. Experience in using problem-solving skills. Evidence of effective verbal/written communication skills.
- Experience with Student Services databases and Customer Service Management platforms
- (PeopleSoft, Salesforce, DARS, Dashboards). Experience with internet-based research tools and Microsoft Office computer applications (Word, Excel, Outlook, Power Point).
- Experience using video conferencing applications
Working Environment
- Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding, and manipulating a computer mouse
- Required to stand for varying lengths of time and walk moderate distances to perform work
- Frequent bending, reaching, lifting, pushing and pulling up to 25 pounds
- Regular activities require ability to quickly change priorities which may include and/or are subject to resolution of conflicts
- Communicate to perform essential functions
- Regular use of standard office equipment including, but not limited to: computer workstation/laptop(keyboard, monitor, mouse), printer, fax, calculator, copier, telephone and associated computer/technology peripherals

The School of Geographical Sciences and Urban Planning (SGSUP) is a major participant in the instructional and research activities of Arizona State University. We staff team of 19 supports 37 tenure/tenure-track faculty including three members of the National Academy of Sciences, over 1000 undergraduate majors (split between campus and online) and 200+ graduate students studying in one of five graduate degree programs (MA and PhD programs in Geography, a PhD in Urban Planning, a Masters in Urban and Environmental Planning and a Master of Advanced Studies in Geographical Information Systems(with more on the way) as well as graduate certificate programs in GIS and transportation. SGSUP has grown quickly in the past year, especially via online enrollment, and more new programs are due to launch on-campus and online in the next two years.
