Reporting to the CAO, the Graduate Coordinator is responsible for supporting students by advising them on program and/or course requirements; providing administrative support on the graduate program, and handling sensitive and confidential information. The incumbent will provide administrative support of hiring Teaching Assistantships in the department by understanding and interpreting of the CUPE 3902 policies and the departmental guidelines.

This is a one-year term that is ending in June 2026.

Your responsibilities will include:

• Advising students on program and/or course requirements by probing and providing a range of options and possible consequences
• Resolving issues within the scope of the role and escalating problems as required
• Interpreting guidelines to determine the eligibility of graduate students for teaching assistantships
• Reviewing and assessing admission applications
• Determining logistical details and activities for events and/or programming
• Organizing, summarizing and circulating program and/or course evaluations
• Collecting and passing on submissions for award competition
• Maintaining course information on student information systems

Essential Qualifications:

• Bachelor’s Degree or acceptable combination of equivalent experience.
• Minimum two years of recent and relevant administration experience in a University setting in the areas of graduate program administration, including supporting admission, registration, course enrollment, graduation and graduate awards administration.
• Experience with coordinating and providing administrative support of hiring Teaching Assistantships.
• Experience reviewing students’ eligibility for graduation and PhD candidacy
• Experience organizing comprehensive oral exams
• Experience processing late course add/drop and course extensions, coordinating transfer credits & exemptions, coordinating course reduction requests
• Experience Interpreting guidelines to determine the eligibility of graduate students for awards and scholarships and preparing materials for adjudications
• Demonstrated experience providing front-line student support and detailed information on programs, course requirements and other related information.
• Experience interpreting, applying and communicating key policies of the CUPE 3902, Unit 1 Collective Agreement.
• Experience using Student Information Systems, including ROSI, GradApp, FAS Teaching Assistantship platform. Strong Proficiency in Microsoft Office (e.g. Word, Excel, PowerPoint, Outlook).
• Demonstrated ability to interpret and apply complex academic policies and procedures to a variety of complex and/or unusual situations or problems.
• Exceptional oral and written communication skills. Strong interpersonal skills and ability to work effectively with a wide variety of people.
• Highly developed planning and organizational skills.
• Demonstrated commitment to providing outstanding student service; experience in making referrals to individuals in distress.
• Ability to manage multiple and often conflicting priorities successfully.
• Ability to show sound judgement in dealing with confidential information and a keen sensitivity to personal student issues.

Assets (Nonessential):

• Experience using the Faculty of Arts and Science TA Ship portal is an asset

Pay Scale Group & Hiring Zone: 

USW Pay Band 09 — $66,715. with an annual step progression to a maximum of $85,319. Pay scale and job class assignment is subject to determination pursuant to the Job Evaluation/Pay Equity Maintenance Protocol.
