Position Summary
Reporting to the Director of the Global Health Division, the Global Program Coordinator will support the Division of Global Health and its two offices and their respective deans: Office of Global Health Research and the Global Initiatives at Columbia University School of Nursing. The Coordinator will play a key role in maximizing the efficiency and effectiveness of global activities which includes student-related programs, global health research administration, and coordinating the scholarly visitor process at the School by assisting in streamlining workflow and communications.
Responsibilities
- Assisting in the coordination of faculty and student visitor requests to Columbia Nursing from global institutions, including obtaining necessary approvals, preparing visa documents, requesting space and computer set-ups, and handling other related logistics
- Tracking global research and student experiences and visitors
- Assisting in the planning and executing the Master’s and Doctoral student recruitment process for both credit- and non-credit bearing global clinical experiences, research and practicums, including student interviews, orientation, evaluations, logistical and operational aspects in compliance with university travel policies. Serves as a point person for student questions
- Scheduling and handling logistics for various meetings, workshops, seminars, conferences, and other events including booking spaces, coordinating room set-ups, ordering catering, note-taking, etc.
- Coordinating summits, conferences and other special events, including creating and sending invitations, tracking RSVPs, etc.
- Handling travel arrangements, registrations and reimbursements for the Division Deans, including organizing and processing travel expense reports
- Providing administrative assistance to the Division Deans, including managing their calendars, scheduling conference calls, responding to emails, etc.
- Working collaboratively with School and University offices to meet the goals of the Global Health Division, including the Offices of Human Resources, Finance & Accounting, Grants Management, Diversity, Student Affairs, etc.
- Performing other projects and responsibilities as needed and assigned
Minimum Qualifications
- Requires a bachelor’s degree or equivalent in education and experience, plus three (3) years of related experience.
- Ability to manage time effectively, handle a wide variety of complex tasks simultaneously, and work accurately and efficiently.
- Strong organizational skills are a must for this role. The successful incumbent will be a self-starter with excellent verbal, written and interpersonal skills. She/he/they will also be proficient in Microsoft Outlook, Word, Excel, and PowerPoint.
- Must have the flexibility to work extended hours when necessary.
- Availability and willingness to participate in international travels.
Preferred Qualifications
- A Master’s degree and experience working in a university setting are strongly preferred for this role.
- Experience in working with students and coordinating global experiences and practicums in a higher education setting are strongly preferred for this role.
- Applicants with an interest in research, specifically in global health and/or research with vulnerable populations, will also be given special consideration.
- Knowledge and prior use of Panopto, International SOS, and statistical research tools/software is a plus.
