Position Description

The Program in Medical Education (PME) at Harvard Medical School (HMS) is the organizational structure housing the education programs that lead to the MD degree. The PME is comprised of 14 offices and is responsible for all aspects of the Pathways and HST curriculum tracks, from admission to graduation. The PME Office of Finance is responsible for managing the PME’s annual budget as well as performing annual forecasts and quarterly reporting. It also supports the multiple offices in the PME and the Pathways and HST curriculums by processing transactions/reimbursements, managing the faculty teaching compensation process, managing student and faculty grants, and handling all of the human resource functions for the PME.

Reporting to the Director of Finance and Administration in the (PME) at HMS, the Finance Manager is responsible for managing administrative and financial processes, policies and procedures of the PME. As a member of the four-person PME Finance team, the Finance Manager will play an integral part in managing, troubleshooting and supporting the day-to-day financial operations of the PME, as well as managing two financial associates. Specific responsibilities include:

  • Manages monthly and quarterly financial closings, deferral, and accrual processes. Prepares account reconciliations and financial summaries, as well as tracks financial commitments for the Director of Finance and administration. Analyzes and prepares quarterly variance analyses comparing current spending to prior year’s spending.
  • Oversees the teaching compensation process for faculty who teach medical students and lead courses in the Harvard MD program, including faculty and courses in the network of Harvard-affiliated teaching hospitals.
  • Oversees and manages administrative and financial activities of the PME, including PME faculty appointments/reappointments process, human resources, and accounts payable/receivables and expense reporting to ensures compliance with University, School and PME policies and procedures.
  • Ensures proper financial management and administration, both pre-award and post-award, of a small, but complex sponsored grant portfolio.
  • Identifies and partners with Director of Finance and Administration to resolve any compliance or policy issues and documents and communicates any related changes to constituents.
  • Assists the Director of Finance and Administration with the annual budget process and fiscal year- end closing.
  • Responsible for effective staff management, including hiring and orientation, training and development, workflow and performance management, and the promotion of an inclusive and innovative work environment.
  • Other special projects and duties as required.

Basic Qualifications

  • Bachelor’s degree or equivalent work experience required
  • Minimum of 5 years’ relevant work experience

Additional Qualifications and Skills

  • MBA or Master’s degree in relevant field preferred
  • Supervisory experience
  • Pre-and Post-award grants management experience
  • Previous higher education experience and working knowledge of Harvard systems and appointments desired
  • Knowledge of Microsoft Office Suite, advanced Excel, and PowerPoint skills
  • Advanced knowledge of budget management, financial analysis and financial modeling; working knowledge of accounting principles
  • Must have excellent financial planning, analytical and project management skills
  • Excellent interpersonal, written and verbal communication skills
  • Must be well organized, flexible, and able to manage multiple challenging projects simultaneously in a decentralized environment and a fast-paced work setting
  • Applicant should also have a collaborative working style with excellent problem solving and presentation skills
  • Must have the ability to build strong relationships with people at all levels of the organization

Additional Information

This position is based in Boston and some in-person on-campus work will be required, and flexible/remote work is an option. Any remote work must be performed in a state in which Harvard is registered to do business (CA*, CT, MA, MD, ME, NH, NY, RI, and VT).
